When you are managing a Google Workspace environment for an organisation, you may occasionally need to suspend a user’s account. Suspension temporarily blocks the user from accessing Gmail, Google Drive, and other Workspace services, while keeping all their data perfectly intact.
Whether an account was suspended automatically by Google (due to a billing issue, spam violation, or security risk) or suspended manually by an administrator while an employee was on leave, restoring access is a straightforward process.
In this guide, we will show you how to reinstate a suspended Google Workspace account and get the user back online.
Requirements Before You Begin
- You must have Super Administrator or User Management Administrator privileges within your Google Workspace organisation. Standard users cannot perform this action.
- If the account was suspended because your organisation’s entire Google Workspace subscription was suspended (e.g., due to an expired credit card), you must resolve the billing issue first. You cannot restore individual users until the primary subscription is active.
Step 1: Access the Google Admin Console
- Open a web browser and navigate to admin.google.com.
- Log in using your administrator email address and password. (If you see a standard Gmail inbox instead of a dashboard, you have likely logged in with a personal account. Click your profile picture in the top right and switch to your admin account).
Step 2: Locate the Suspended User
- From the Admin console homepage, click on Users. (If you do not see Users, click the three-line hamburger menu in the top left, go to Directory, and then select Users).
- You will see a list of all users in your organisation. Above the list, click the Add a filter button.
- Select User status from the dropdown menu, check the box next to Suspended, and click Apply.
- This will filter the list to show only accounts that are currently inactive. Suspended accounts will have a red “Suspended” label next to their name.
Step 3: Restore the Account
- Hover your mouse cursor over the user you want to restore.
- Click the More options link (or the three vertical dots) that appears on the right side of the row.
- Click Reactivate from the dropdown menu.
- A confirmation box will appear. If the account was suspended manually by an admin, you can simply click the Reactivate button to instantly restore access.
What if Google Suspended the Account?
If the user was suspended automatically by Google’s security systems, the restoration process is slightly different. The confirmation box will explain exactly why Google suspended the account (for example, “Suspended for spamming” or “Suspended for suspicious login activity”).
To restore a Google-suspended account:
- Read the warning carefully. You must ensure the security risk has been mitigated (e.g., ensuring a compromised computer has been scanned for malware).
- Click the Reactivate button.
- Important: If an account is suspended for spamming multiple times within the same calendar year, Google may permanently disable the account, and you will not be able to restore it through the Admin console. In this rare scenario, you must contact Google Workspace Support directly.
Post-Restoration Steps
Once you click Reactivate, the user regains access to their account immediately. However, to ensure account security, it is highly recommended to follow up with these two steps:
- Reset their password: On the Users page, hover over their name and click “Reset password.” Provide the user with the temporary password so they are forced to choose a new one upon their first login.
- Check active sessions: If you suspect the account was compromised, you should revoke all active login sessions. Click on the user’s name to open their profile page, scroll down to the Security section, click Connected applications, and revoke access to any unrecognised devices or apps.
By following these steps, you ensure that the user can get back to work quickly while maintaining the overall security of your organisation’s Google Workspace environment.
