How to Password Protect a Microsoft Word Document

If you are working on a highly sensitive document—such as a financial report, a legal contract, a list of passwords, or a personal diary—relying solely on your computer’s standard login password is not enough. If someone gains access to your unlocked computer, or if you accidentally email the file to the wrong person, your private information is immediately compromised.

To ensure your data remains completely secure regardless of where the file ends up, you must learn how to password protect a Microsoft Word document using built-in encryption.

Why You Should Password Protect Your Documents

When you apply a password to a Microsoft Word document, the application does not simply lock the file behind a basic prompt. Microsoft uses Advanced Encryption Standard (AES) with a 256-bit key to fully encrypt the contents of the file.

This means that even if a hacker intercepts your document over a network or attempts to bypass Word by opening the file with third-party software, the text will be entirely unreadable. Without the correct password, the document is effectively a scrambled wall of meaningless code.

How to Password Protect a Microsoft Word Document

Adding a password to your document is a quick and straightforward process.

  1. Open your sensitive document in Microsoft Word.
  2. Click on the File tab located in the top-left corner of the ribbon menu.
  3. Select Info from the left-hand sidebar.
  4. Click on the large Protect Document button to open a drop-down menu.
  5. Select Encrypt with Password.
  6. A dialog box will appear. Type a strong, secure password into the text field. (Warning: Microsoft cannot recover forgotten passwords. If you lose this password, you will permanently lose access to the document. Be sure to store it in a reliable password manager.)
  7. Click OK.
  8. A second dialog box will ask you to re-enter the password to confirm it. Type it again and click OK.
  9. The “Protect Document” section will now turn yellow, displaying a message that a password is required to open this document.
  10. Crucial Step: You must save the document (Ctrl + S) to apply the encryption. If you close without saving, the password will not be set.

The next time anyone attempts to open the file, they will be greeted with a blank screen and a mandatory password prompt.

How to Remove a Password from a Word Document

If a document is no longer sensitive and you want to remove the encryption for easier access, you can easily strip the password.

  1. Open the document and enter the current password to unlock it.
  2. Go back to File > Info > Protect Document > Encrypt with Password.
  3. The dialog box will appear containing your hidden password (displayed as black dots).
  4. Delete the dots so the text field is completely blank.
  5. Click OK.
  6. Save the document to finalise the removal of the encryption.
