Have you ever accidentally overwritten a crucial document, deleted paragraphs of text you actually needed, or saved changes that you instantly regretted? In the past, overwriting a file meant your original work was gone forever. Fortunately, Google Drive features a built-in safety net called Version History, allowing you to easily recover and restore previous versions of your files.
Whether you are collaborating on a shared document or managing your own files, knowing how to use this feature can save you hours of rewriting and frustration.
What is Version History in Google Drive?
Version History is an automatic backup system integrated directly into Google Workspace. As you edit a Google Doc, Sheet, or Slide, Google continuously saves “snapshots” of your document in the background. It records exactly what changes were made, when they were made, and which user made them.
Google Drive also tracks versions for non-Google files (such as PDFs, Microsoft Word documents, and images) when you upload a file with the exact same name to overwrite the existing one.
How to Restore Previous Versions of Google Docs, Sheets, and Slides
If you are working within a native Google file format, restoring an older version is incredibly straightforward.
- Open your document in Google Docs, Sheets, or Slides.
- Click on File in the top menu bar.
- Hover over Version history and select See version history from the dropdown menu (Alternatively, you can press Ctrl + Alt + Shift + H on your keyboard).
- A panel will appear on the right side of the screen displaying a chronological list of all saved versions, sorted by date and time.
- Click on any timestamp to preview what the document looked like at that exact moment. Any changes made since the previous version will be highlighted in colour.
- Once you have found the version you wish to recover, click the blue Restore this version button at the top of the screen.
- Click Restore again to confirm.
If you do not want to overwrite your current document but still need the old data, you can click the three vertical dots next to a timestamp and select Make a copy instead.
How to Restore Previous Versions of Non-Google Files
If you use Google Drive as a cloud storage locker for PDFs, images, or Microsoft Office files, you can still manage versions, though the process is slightly different.
- Open Google Drive in your web browser.
- Locate the file you want to restore.
- Right-click on the file, select File information, and then click Manage versions.
- A dialog box will appear listing all older versions of the file you have uploaded.
- Click the three vertical dots next to the version you want to recover.
- Select Download to save the older version directly to your computer.
Note: By default, Google Drive only keeps previous versions of non-Google files for 30 days or up to 100 versions. To prevent an older version from being deleted automatically, click the three dots and select Keep forever.
