How to Create a Mail Merge in Microsoft Word

If you need to send 50 personalised letters to clients, employees, or event attendees, manually typing out each name, address, and greeting is a massive waste of time. It is also highly prone to spelling and formatting errors.

To drastically improve your productivity and automate this repetitive task, you must learn how to create a Mail Merge in Microsoft Word.

What is a Mail Merge?

A Mail Merge is a powerful feature that connects a single Microsoft Word template (like a standard letter) to an external data source (like a Microsoft Excel spreadsheet).

Word pulls the unique data from your spreadsheet and automatically generates dozens of individual, personalised documents in seconds. You can then print these letters or send them directly as individual emails.

Step 1: Prepare Your Data Source in Excel

Before you open Word, you must organise your contact list in Excel. This is the most crucial step of the process.

  1. Open a blank Microsoft Excel spreadsheet.
  2. In the first row (Row 1), create clear, descriptive column headers. For example: First Name, Last Name, Company, and Address.
  3. Fill in the rows below with your contact information. Ensure there are no completely blank rows interrupting your data.
  4. Save the Excel file to a location you can easily find (e.g., your Desktop) and close Excel.

Step 2: Start the Mail Merge in Word

Now that your data is ready, it is time to connect it to your document.

  1. Open Microsoft Word and create a blank document (or open your pre-written letter).
  2. Click on the Mailings tab in the top ribbon menu.
  3. Click Start Mail Merge and select Letters (or Email Messages, if you plan to send them digitally).
  4. Click Select Recipients and choose Use an Existing List.
  5. A file explorer window will appear. Locate and select the Excel file you saved in Step 1.
  6. If prompted, ensure the correct worksheet is selected and check the box that says “First row of data contains column headers.” Click OK.

Step 3: Insert Merge Fields

Your Word document is now connected to your Excel spreadsheet. The next step is to tell Word where to place the personalised information.

  1. Click on your document where you want a piece of data to appear (for example, right after “Dear “).
  2. On the Mailings tab, click the Insert Merge Field button.
  3. A dropdown menu will appear listing the column headers from your Excel sheet (e.g., First Name). Click the field you want to insert.
  4. The field will appear in your document surrounded by chevrons, looking like this: <<First Name>>.
  5. Continue writing your letter, inserting merge fields wherever you need personalised data. Remember to type spaces and punctuation manually between the fields!

Step 4: Preview and Finish

Before you print or send anything, you should verify that the data has merged correctly.

  1. On the Mailings tab, click the Preview Results button.
  2. The <<First Name>> placeholder will transform into the actual name of your first contact. Use the small blue arrow buttons next to “Preview Results” to scroll through and check other recipients.
  3. Once you are satisfied, click Finish & Merge on the far right of the ribbon.
  4. Select Print Documents to send them directly to your printer, or Edit Individual Documents to generate a massive, multi-page Word file containing all the personalised letters for a final review.

By mastering the Mail Merge workflow, you can handle bulk communications with professional efficiency and complete accuracy.
