How to Share Your Google Calendar with Others

Whether you are coordinating meetings with a coworker or organizing events with family members, sharing your Google Calendar is the easiest way to ensure everyone is on the same page. You can choose to share your entire calendar so others can see your full schedule, or simply invite them to individual events.

How to Share Your Entire Calendar

This method is ideal for assistants, business partners, or spouses who need constant access to your schedule. (Note: You can only share your entire calendar from a computer browser, not the mobile app).

  1. Open Google Calendar on your computer.
  2. Look at the left sidebar under the “My calendars” section.
  3. Hover your mouse over the calendar you want to share, click the three vertical dots (More options), and select Settings and sharing.
  4. Scroll down to the section titled “Share with specific people or groups.”
  5. Click the + Add people and groups button.
  6. Type in the email address of the person you want to share with.
  7. Set Permissions: Click the dropdown menu next to their name. You can allow them to “See only free/busy (hide details)”, “See all event details”, or give them full control to “Make changes to events.”
  8. Click Send. They will receive an email with a link to add your calendar to their view.

How to Invite Someone to a Specific Event

If you just want to schedule a single meeting or lunch with someone, you do not need to share your whole calendar.

  1. Click on an empty space on your calendar to create a new event (or click an existing event and select the pencil icon to edit it).
  2. On the right side of the event window, look for the “Add guests” box.
  3. Type the email addresses of the people you want to invite.
  4. Click Save. Google will ask if you want to send invitation emails to Google Calendar guests. Click Send so they receive the invite and can RSVP.

Pro Tip: If you are setting up a calendar for your household, consider creating a Google Family Group. It automatically creates a shared “Family” calendar that everyone in the group can add events to without any complex setup.
