How to Record Presentations with Teleprompter and Video in Microsoft PowerPoint

Delivering remote presentations, online lectures, and asynchronous training videos requires more than static slide decks. Presenters often struggle to maintain natural eye contact with their audience while simultaneously glancing down at printed speaker notes or side monitors. To eliminate this challenge, Microsoft overhauled PowerPoint’s presentation recording features by creating the Recording Studio, complete with a built-in Teleprompter view and high-definition webcam overlay.

With PowerPoint’s modern recording tools, you can record your voice, webcam video feed, on-screen digital ink annotations, and slide transitions seamlessly, then export the finished package as an MP4 video or an interactive self-running slideshow.

What Is PowerPoint Recording Studio?

Unlike basic screen recorders that capture your entire desktop canvas, PowerPoint Recording Studio captures slide elements and multimedia as distinct data layers:

  • Teleprompter View: Scrolls your slide notes smoothly across the top of your screen directly beneath your webcam lens, making your delivery appear natural and conversational.
  • Presenter Video Overlay (Cameo): Embeds your live webcam feed directly onto slides as a custom circular, rectangular, or floating video element with custom borders.
  • Per-Slide Recording: Audio and video are recorded slide-by-slide. If you make a verbal mistake on Slide 5, you only need to re-record Slide 5 without starting the entire presentation from scratch.
  • Digital Inking and Laser Pointer: Records your pen drawings and highlight markers synchronized with your spoken narrative.

Prerequisites for Using the Teleprompter in PowerPoint

The modern Recording Studio and Teleprompter view are available in:

  • Software: Microsoft 365 (Office 365) subscription on Windows 11, Windows 10, or macOS.
  • Hardware: Connected microphone and webcam (integrated laptop webcam or external USB camera).
  • Speaker Notes: Written notes added to the bottom notes panel of your slides prior to recording.

How to Access and Configure the Teleprompter View

Launching the Recording Studio and configuring the Teleprompter requires only a couple of clicks:

  1. Open your presentation in Microsoft PowerPoint.
  2. Click the Record tab on the top ribbon (or click the red Record button in the top-right corner of the window).
  3. PowerPoint enters the full-screen Recording Studio.
  4. At the top of the interface, click the Views dropdown menu and select Teleprompter (default alternatives are Presenter View and Slide View).
  5. Your slide notes will appear at the top-centre of your display, directly beneath your physical camera lens. Adjust the font size slider in the upper-right corner so your notes are easily readable from a comfortable sitting distance.

Recording Your Slide Presentation Step-by-Step

Once your layout and notes are configured, begin capturing your presentation:

  1. Verify your audio and video inputs by clicking the microphone and camera icons at the bottom of the studio window. You can toggle blur background on or off.
  2. Position your gaze naturally towards the top notes area.
  3. Click the round red Record button at the top of the screen. A 3-second countdown will commence.
  4. Deliver your narrative. Scroll through your notes using the mouse wheel or arrow keys.
  5. Use the digital ink tools at the bottom to draw, circle, or highlight key points on the slide in real time.
  6. When finished with the current slide, click Pause or advance to the next slide using the right arrow. PowerPoint creates a clean cut between slides so slide transitions do not clip your voice.
  7. Click Stop when your presentation concludes.

Reviewing and Retaking Specific Slides

One of the strongest advantages of PowerPoint Recording Studio is modular editing:

  • Click the Play preview button to review the recorded audio and video for your current slide.
  • If you are unsatisfied with your delivery, click the Clear recording icon (represented by an ‘X’) and choose Clear recording on current slide.
  • Re-record only that slide without affecting any previously approved slides in your presentation.

Teleprompter vs Presenter View Comparison

Feature Metric Teleprompter View Presenter View
Notes Placement Directly below webcam lens at top of screen Large side panel on the right half of screen
Eye Contact Quality Optimal; audience perceives direct eye contact Noticeable sideways glance looking at side notes
Scrolling Behaviour Smooth, vertical teleprompter style flow Standard static block scroll pane
Slide Previews Compact minimised thumbnail below notes Large primary slide view and upcoming slide preview

Exporting Your Recorded Presentation to Video

Once all slides have been recorded and reviewed, export the finished video:

  1. Exit Recording Studio by clicking the Close button (or pressing Esc).
  2. In PowerPoint, navigate to Record > Export to Video (or File > Export > Create a Video).
  3. Select your preferred resolution: choose Full HD (1080p) for optimal balance between clarity and file size, or Ultra HD (4K) for commercial presentations.
  4. Ensure Use Recorded Timings and Narrations is selected.
  5. Click Create Video, choose your destination folder, and save the resulting .mp4 file.
