The Importance of Watermarking Documents
When you share a Google Doc with external clients, contractors, or a wide audience, you immediately lose control over how that document is used or distributed. If you are sharing a highly confidential business proposal, a rough draft of a novel, or proprietary company training materials, you need a way to protect your intellectual property.
A watermark is a faint, semi-transparent image or block of text that sits behind the main text of your document. Because it is embedded into the background of every single page, it cannot be easily cropped out or ignored. By placing a large “CONFIDENTIAL” or “DRAFT” watermark across the page, you clearly communicate the document’s status and discourage unauthorized sharing.
While this feature was missing from Google Docs for many years (forcing users to rely on clunky workarounds involving drawing tools), Google has finally introduced a native, built-in Watermark tool.
How to Add a Text Watermark in Google Docs
The fastest and most common way to protect a document is by using a simple text watermark.
- Open your document in Google Docs on a desktop computer. (Note: You cannot add a watermark using the Google Docs mobile app).
- Click on the Insert tab in the top menu bar.
- Scroll down the menu and click Watermark.
- A new side panel will open on the right side of your screen. Look at the top of this panel and click the Text tab.
- In the box labeled Text, type the word or phrase you want to use (e.g., “CONFIDENTIAL,” “DRAFT,” “DO NOT COPY,” or your company name).
- As you type, you will see a live preview of the watermark appear behind the text on your document.
Customising the Text:
Directly below the text box, you will find several formatting options to ensure the watermark looks exactly how you want it:
- Font: Change the font style. (Bold, blocky fonts like Arial or Impact work best for watermarks).
- Transparency: This is critical. If the watermark is too dark, people will not be able to read your actual document. Use the slider to make the text fainter.
- Formatting: You can make the text bold or italicized.
- Position: By default, it will be placed diagonally across the page. You can change this to “Horizontal” if you prefer a standard straight line.
Once you are happy with the preview, simply click Done at the bottom of the side panel.
How to Add an Image Watermark in Google Docs
If you are preparing a formal business document, a press release, or an invoice, you might want to use your official company logo as a watermark instead of plain text.
- Click Insert > Watermark to open the right-hand panel again.
- Click on the Image tab at the top of the panel.
- Click the large square box that says Select image.
- A window will pop up allowing you to upload an image from your computer’s hard drive, select one from your Google Drive, or take a photo with your webcam. (For best results, use a high-resolution PNG file with a transparent background).
- Once the image is uploaded, it will appear in the centre of your document.
- Look at the right-hand panel for customisation options:
- Scale: If the logo is too small or too massive, use this dropdown to adjust its size relative to the page (e.g., 50%, 100%, 150%).
- Faded: Ensure this checkbox is checked. If it is unchecked, the logo will appear in full, vivid colour, which will likely make the text sitting on top of it completely unreadable.
- Click Done.
How to Remove a Watermark
If a document has finally been approved and is ready for final publication, you will need to remove the “DRAFT” watermark.
- Open the document.
- Click Insert > Watermark to open the side panel.
- Look at the very bottom of the side panel.
- Click the button labeled Remove watermark.
The watermark will instantly vanish from every page in the document.
