In the past, connecting a printer to a computer required wrestling with a tangled mess of USB cables and downloading incredibly frustrating software drivers from a CD-ROM. Today, almost all modern printers connect wirelessly via Wi-Fi. While this means you can place the printer in a completely different room from your computer, it also introduces a new layer of complexity to the setup process.
Fortunately, Windows 11 is incredibly adept at automatically discovering wireless devices on your network. The entire process rarely requires downloading any third-party software.
Step 1: Connect the Printer to Wi-Fi
The number one reason users fail to connect their printer to Windows 11 is that they skip this fundamental step. Your computer cannot “talk” to the printer until both devices are connected to the exact same Wi-Fi router.
Because every printer brand (HP, Brother, Epson) designs their hardware differently, the exact steps will vary, but the concept is universal.
- Turn on your printer.
- Use the small LCD screen on the front of the printer to navigate to the Settings or Network menu.
- Select Wireless Setup Wizard (or a similarly named option).
- The printer will scan the room for Wi-Fi networks. Select the exact same Wi-Fi network that your Windows 11 computer is connected to.
- Use the printer’s touchscreen (or the arrow buttons) to painstakingly type in your Wi-Fi password.
Once the printer connects to the router, the blue Wi-Fi light on the front of the printer will usually stop blinking and turn solid blue.
Step 2: Add the Printer to Windows 11
Now that the printer is broadcasting a signal across your home network, you simply need to tell Windows 11 to look for it.
- On your Windows 11 taskbar, click the Start Menu (the Windows icon).
- Click the gear icon to open the Settings app.
- In the left-hand navigation sidebar, click on Bluetooth & devices.
- In the main window, click on Printers & scanners.
- At the very top of the screen, you will see a large button that says Add device. Click it.
Windows 11 will begin scanning your Wi-Fi network. This process can take anywhere from 10 to 30 seconds.
- The name of your printer (e.g., “HP ENVY 6000 series” or “Brother HL-L2350DW”) will appear in the list. Click the Add device button next to it.
Windows will display a “Connecting…” message while it automatically reaches out to the internet, downloads the correct drivers, and installs them in the background. Once the message says “Ready,” the setup is completely finished. You can now print documents wirelessly from any application.
Troubleshooting: The Printer Isn’t Found
If you click “Add device” and Windows scans for a full minute but returns an error stating “The printer that I want isn’t listed,” do not panic. This is usually a minor network glitch.
- Click the blue text that says Add manually.
- A complex dialogue box will open. Select the radial button next to Add a printer using an IP address or hostname, and click Next.
- You will need the printer’s IP address. Go to your printer’s physical screen, navigate to the Network settings, and look for “Print Network Details” or “View IP Address.” It will look something like
192.168.1.15. - Type that exact number into the Hostname or IP address field in Windows.
- Click Next.
Windows will bypass the automatic network scan and force a direct, hardcoded connection to that specific IP address, instantly solving the connection failure.
