How to Create and Customise iCloud Mail Aliases to Protect Your Primary Email Address

Sharing your primary personal email address when signing up for newsletters, participating in public online forums, or communicating with secondary service providers exposes your main inbox to spam and security vulnerabilities. While Apple’s “Hide My Email” service creates random throwaway addresses, many users prefer recognisable, permanent addresses for specific purposes—such as freelancing, community volunteering, or online retail. Apple includes a native feature in iCloud Mail that allows every account holder to create and customise up to three permanent email aliases.

What Is an iCloud Mail Alias?

An iCloud email alias is an alternative email address that shares the same inbox, contact list, and account settings as your primary Apple ID. Unlike setting up an entirely new email account, messages sent to your alias arrive directly in your regular iCloud inbox without requiring separate logins or password credentials.

Key attributes of iCloud Mail aliases include:

  • Up to Three Active Aliases: Every iCloud account can maintain three active custom aliases simultaneously.
  • Two-Way Communication: You can receive emails and send replies or fresh outgoing messages using the alias as the “From” address.
  • Custom Display Names: Each alias can feature its own sender name, concealing your real identity or reflecting a professional title.
  • Dedicated Inboxes or Folders: Incoming messages sent to an alias can be routed automatically to designated folders or labelled with custom colours.
  • Toggle on or off: If an alias begins receiving spam, you can deactivate or delete it without compromising your primary account.

How to Create an iCloud Email Alias (Web)

Aliases must be configured through the web interface at iCloud.com:

  1. Open your web browser and navigate to icloud.com/mail.
  2. Sign in using your primary Apple ID credentials.
  3. In the left sidebar, click the gear icon (Settings) located at the top of the mailbox list.
  4. Click Preferences (or Mail Settings).
  5. In the settings window, select the Accounts tab.
  6. Click Add an alias.
  7. Configure the alias parameters:
    • Alias: Type your desired email prefix (e.g. alex.consulting). The suffix will automatically be @icloud.com.
    • Full Name: Enter the display name recipients will see in their inboxes.
    • Label / Colour: Assign an optional label tag (such as Work, Home, or Shopping) to distinguish messages visually.
  8. Click Create (or Save).

Note: Email aliases cannot be transferred to another Apple ID or reclaimed once deleted, so choose names thoughtfully.

Sending Emails from an Alias on iPhone, iPad, and Mac

Once created on the web, your new alias synchronises automatically across all Apple devices connected to your iCloud account.

Selecting the Alias in Apple Mail:

  1. Open the Mail app on your iPhone, iPad, or Mac.
  2. Tap or click Compose to draft a new email.
  3. Tap the From: field.
  4. Select your newly created alias from the drop-down menu of available sending addresses.
  5. Draft your message and click Send. The recipient will see the alias address and custom display name with zero trace of your primary Apple ID.

Automatically Routing Alias Messages with Rules

To prevent alias messages from cluttering your primary inbox, create an automatic routing rule:

  1. In iCloud Mail on the web, click the gear icon > Preferences.
  2. Select the Rules tab.
  3. Click Add rule.
  4. Under If a message, select is addressed to and enter your alias address.
  5. Under Then, select Move to folder and choose an existing folder (e.g. “Consulting” or “Shopping”) or create a new one.
  6. Click Done to activate the automated filter.

Deactivating or Deleting an Alias

If an alias receives unwanted spam or is no longer needed:

  1. Go to icloud.com/mail > Gear icon > Preferences > Accounts.
  2. Click the alias you wish to adjust.
  3. To pause incoming mail without deleting: untick the Enable alias box.
  4. To permanently remove: click Delete alias and confirm. Once deleted, the alias slot becomes available to create a fresh address.
