When you create a formal document in Microsoft Word, you will likely insert an automated Table of Contents (TOC) at the beginning. This TOC dynamically maps to your Heading styles, allowing you to automatically generate page numbers. By default, Word is configured to automatically refresh and update all fields—including the TOC—the moment you send the document to a printer.
While this sounds helpful, it can be disastrous for finalized documents. If you spent an hour manually tweaking the TOC—perhaps deleting a specific heading you didn’t want listed, or manually forcing a line break—clicking “Print” will instantly overwrite all of your manual edits. Word will rescan the document, rebuild the TOC from scratch, and print the ruined version.
To protect your manual formatting, you must disable the pre-print update sequence.
How to Stop Field Updates Before Printing
You can disable this behavior in the global Word Options menu.
- Open your document in Microsoft Word.
- Click on File in the top-left corner of the ribbon.
- Click on Options at the bottom of the left sidebar.
- In the Word Options window, select Display from the left-hand navigation pane.
- Scroll down the right pane until you reach the section labeled Printing options.
- Look for a checkbox labeled Update fields before printing.
- Uncheck this box.
- Click OK to save your changes.
From now on, when you press Ctrl+P to print your document (or export it to a PDF), Word will blindly trust the document exactly as it appears on your screen. Your manually edited Table of Contents will remain untouched, ensuring the final physical copy matches your exact specifications.
