How to Use the AutoCorrect Feature to Create Custom Typing Shortcuts in Microsoft Word

If you are a legal professional, a doctor, or a corporate manager, you likely type the exact same long, complex phrases dozens of times a day (e.g., “Pursuant to the aforementioned regulations” or “Thank you for contacting customer support”). Manually typing these out is a massive waste of time, and copying them from a separate Notepad file breaks your workflow. Instead, you can hijack the Microsoft Word “AutoCorrect” engine to create custom, instant typing shortcuts.

Hijacking the AutoCorrect Engine

The AutoCorrect engine is the invisible system that automatically changes “teh” into “the” the moment you hit the spacebar. You can add your own custom mathematical rules to this database, forcing Word to automatically expand a tiny, three-letter code into a massive, multi-sentence paragraph.

Step-by-Step Instructions

  1. Open Microsoft Word.
  2. Type out the full, perfectly formatted paragraph or phrase you want to automate.
  3. Highlight the exact text you just typed.
  4. Click on File in the top-left corner, then click on Options at the very bottom of the menu.
  5. In the new window, click on Proofing on the left sidebar.
  6. Click the AutoCorrect Options… button on the right side.

A new dialogue box will open. Because you highlighted your text in Step 3, you will see your massive paragraph already sitting inside the “With:” text box.

  1. In the empty Replace: text box on the left, type a short, unique code (e.g., /ty or zxcv). Crucial Note: Never use a real word as a shortcut, or Word will ruin your documents by expanding it every time you type it. Always use a special character like a slash, or a nonsense string of letters.
  2. Click the Add button.
  3. Click OK twice to close all the menus.

Using Your Shortcut

Now, go back to your blank document. Type your shortcut (/ty) and immediately press the Spacebar.

Microsoft Word will instantly delete the shortcut code and seamlessly replace it with your massive, fully formatted paragraph, saving you hundreds of keystrokes every single day.
