How to Insert a Checkbox in Microsoft Word

Whether you are designing a daily to-do list, creating a printable survey, or drafting a digital application form, adding checkboxes makes your Microsoft Word document significantly more interactive and professional. However, the standard keyboard does not have a checkbox key, and finding the right option hidden deep within Word’s menus can be incredibly frustrating.

In Microsoft Word, there are actually two different types of checkboxes you can create: clickable digital checkboxes (for forms filled out on a computer) and static bullet point checkboxes (for documents you intend to print).

Method 1: How to Insert Clickable Digital Checkboxes

If you are creating a digital form that you want users to fill out on their computers, you need to use interactive checkboxes. These require enabling the hidden Developer tab.

Step 1: Enable the Developer Tab

  1. Open Microsoft Word and click on File in the top-left corner.
  2. Select Options at the bottom of the left sidebar.
  3. In the Word Options window, click on Customize Ribbon.
  4. On the right side of the screen, under the “Main Tabs” list, check the box next to Developer.
  5. Click OK. You will now see the Developer tab at the top of your screen.

Step 2: Insert the Checkbox

  1. Place your cursor exactly where you want the checkbox to appear in your document.
  2. Click on the newly enabled Developer tab at the top of the screen.
  3. In the “Controls” group, look for the small icon that looks like a square with a checkmark inside it (hovering over it will say Check Box Content Control).
  4. Click that icon. A clickable checkbox will instantly appear in your document.

You can now copy and paste this checkbox anywhere else in your document. When a user clicks the box, an “X” will automatically appear inside it.

Method 2: How to Insert Printable Checkboxes (Bullet Points)

If you are printing a document (like a grocery list or a daily planner) and want empty squares for people to physically tick with a pen, using the bullet point method is much faster.

  1. Highlight the list of items you want to add checkboxes to.
  2. Go to the Home tab on the ribbon.
  3. Click the small downward arrow next to the Bullets icon (in the Paragraph group).
  4. Click on Define New Bullet at the bottom of the dropdown menu.
  5. In the window that opens, click the Symbol button.
  6. Change the “Font” dropdown menu to Wingdings 2.
  7. Scroll through the symbols until you find the empty square box (or a box with a checkmark, depending on your preference).
  8. Select the square and click OK twice to close both windows.

Your list will now use perfect, uniform checkboxes instead of standard bullet points.
