If you are sharing a spreadsheet containing confidential financial data, an early draft of a budget, or proprietary company information, it is crucial to label it appropriately. Adding a “CONFIDENTIAL” or “DRAFT” watermark across the background of your sheet ensures that anyone viewing or printing the document instantly understands its status.
Unlike Microsoft Word, Excel does not have a dedicated “Watermark” button. However, you can achieve the exact same effect by placing an image or styled text in the header of your document.
In this guide, you will learn a simple workaround to insert a professional watermark in Microsoft Excel.
How to Add a Picture Watermark
The most reliable way to create a watermark is to insert an image file (like a faded company logo or a transparent PNG containing the word “DRAFT”) into the spreadsheet’s header.
- Open your spreadsheet in Microsoft Excel.
- Click on the Insert tab in the top ribbon menu.
- Locate the “Text” group on the right side of the ribbon and click on Header & Footer. (Your view will automatically change from “Normal” to “Page Layout,” and a header box with three sections will appear).
- Click inside the center section of the header box.
- A new Header & Footer tab will appear on the ribbon. Click it, then click the Picture button.
- Browse your computer for your watermark image file and click Insert. The text
&[Picture]will appear in the center header box. - Click anywhere in the main grid of your spreadsheet (outside the header). Your image will instantly appear behind your data.
How to Position and Format the Watermark
If your watermark image appears too high at the top of the page, or is too dark and makes your numbers hard to read, you can easily format it.
- Click back inside the center header section where the
&[Picture]text is located. - To move the image down to the center of the page, place your cursor before the
&symbol and press the Enter key several times to add blank lines. - To fade the image, go to the Header & Footer tab on the ribbon and click Format Picture.
- In the Format Picture window, click the Picture tab.
- Under the “Image control” section, change the Color dropdown menu to Washout. This will automatically fade the image so it doesn’t obscure your data.
- Click OK.
Note: The watermark will only be visible when you are viewing the spreadsheet in Page Layout view or when you print the document. It will remain hidden in the standard Normal view.
