How to Combine Multiple Word Documents into One File

When working on a large project, such as a thesis, a book, or an extensive company report, it is common to write different chapters in separate Microsoft Word files. However, when it comes time to submit or print the final project, managing ten different files is incredibly inefficient.

While you could open every single document, copy the text, and paste it into a master file, this method is slow and often ruins your formatting. Fortunately, Microsoft Word includes a hidden feature that allows you to seamlessly merge multiple documents together in seconds, preserving the exact layout of the original text.

In this guide, you will learn how to combine multiple Word documents into a single master file.

How to Merge Word Documents

Before you begin, it is highly recommended to place all the documents you want to combine into a single folder on your desktop. This makes finding them much easier during the merge process.

  1. Open Microsoft Word and create a completely Blank document (this will act as your new master file).
  2. Click on the Insert tab located on the top ribbon.
  3. Look toward the far right side of the ribbon for the “Text” group.
  4. Find the button labeled Object. (Depending on your screen size, it might just be a small icon that looks like a blank page with a blue title bar).
  5. Click the small downward arrow immediately next to the Object button.
  6. Select Text from File… from the dropdown menu.

Selecting and Organizing Your Files

Once you click “Text from File”, a standard file explorer window will open.

  1. Navigate to the folder where your separate Word documents are saved.
  2. Select all the documents you want to combine. You can do this by holding down the Ctrl key (Windows) or Command key (Mac) and clicking each file one by one.
  3. Important Note: Word will insert the documents in the exact order that they are sorted in this window. To ensure they combine correctly (e.g., Chapter 1, then Chapter 2), make sure the files are sorted alphabetically or numerically by clicking the “Name” column header before you proceed.
  4. Once all the files are selected and correctly ordered, click the Insert button.

Microsoft Word will instantly pull the text, images, and formatting from every selected file and stitch them together into your current master document. By using the “Text from File” feature, you can confidently divide large writing tasks among different team members or work across multiple files, knowing that combining them at the end will only take a few clicks.
