How to Add Line Numbers to a Microsoft Word Document

When collaborating on legal contracts, academic manuscripts, or complex coding documentation, referencing specific sections of text can be incredibly difficult. Saying “look at the third paragraph on page four” is vague and leads to confusion. For precise collaboration, professionals use continuous line numbering.

Microsoft Word has a built-in feature that automatically places consecutive numbers in the left margin next to every single line of text. This ensures that every sentence in a massive document has a unique, absolute reference point.

How to Enable Continuous Line Numbering

Adding line numbers to your entire document requires only a few clicks, and it modifies the page layout without altering the text itself.

  1. Open your document in Microsoft Word.
  2. Click the Layout tab in the main ribbon at the top of the screen.
  3. In the “Page Setup” group, look for the Line Numbers button and click it.
  4. From the drop-down menu, select Continuous.

Immediately, small numbers will appear in the left-hand margin. If you add or delete text, the numbers will automatically recalculate and adjust, ensuring the numbering remains perfectly sequential from page 1 to page 100.

How to Restart Numbering on Each Page

In some legal contexts or scriptwriting formats, you may not want the numbers to reach into the thousands. Instead, the standard practice is to reset the counter back to ‘1’ at the top of every new page.

  1. Click the Layout tab.
  2. Click the Line Numbers button.
  3. Select Restart Each Page from the drop-down menu.

Now, the numbers will count up to the bottom of the page, and the very first line on the next page will begin at number 1 again. When referencing text, collaborators will now say, “Check Page 4, Line 12.”

How to Remove Line Numbers from Specific Paragraphs

By default, Microsoft Word will number every single line that contains text, including document titles, chapter headings, and bullet points. Often, you only want the main body text numbered while leaving the headings clean.

You can selectively disable line numbers for specific paragraphs.

  1. Use your mouse to highlight the specific heading or paragraph you want to skip.
  2. Click the Layout tab and click the Line Numbers button.
  3. Select Suppress for Current Paragraph.

The numbers will disappear from the highlighted text, and the counting sequence will skip over it and resume normally on the very next paragraph.

How to Remove Line Numbers Completely

Line numbering is generally used during the drafting and editing phases of a document. Before you export the final version to a PDF or send it to a client, you will likely want to remove the numbers to clean up the margins.

  1. Click the Layout tab.
  2. Click the Line Numbers button.
  3. Select None from the very top of the drop-down menu.

All numbers will vanish instantly, returning your document to its standard formatting.
