How to Use the Windows 11 Steps Recorder to Create Troubleshooting Guides

If you have ever tried to provide technical support to a colleague or a family member over the phone, you know how frustrating it can be. Explaining exactly where to click to fix a software issue often leads to confusion. Conversely, if you are the one experiencing a bug, trying to explain the exact steps you took before the software crashed can be difficult for an IT department to understand.

Instead of relying on vague descriptions or manually taking dozens of screenshots, you can use the Steps Recorder tool built directly into Windows 11. This hidden utility silently records your screen, capturing exactly where you click and what you type, and automatically compiles the entire sequence into a single, easy-to-read web document that you can email to anyone.

How to Launch the Steps Recorder

The Steps Recorder is a legacy Windows tool, which means it is buried deep within the system rather than being displayed prominently on the Start Menu.

  1. Press the Windows Key on your keyboard to open the Start menu.
  2. Type Steps Recorder into the search bar.
  3. Click on the app in the search results to launch it. (It will appear as a very small, simple toolbar floating on your screen).

How to Record a Troubleshooting Sequence

Once the toolbar is open, you are ready to document your process.

  1. Click the Start Record button on the Steps Recorder toolbar.
  2. Proceed to use your computer normally. Perform the exact sequence of actions you want to document (e.g., clicking on a specific menu, navigating through a difficult software setup, or triggering a specific error message).
  3. Every time you click your mouse, the Steps Recorder silently takes a screenshot and records a text description of your action.
  4. If you need to explain something specific during the recording, click the Add Comment button on the toolbar. The screen will pause, and you can type a custom note (e.g., “This is where the software usually crashes”) which will be inserted into the final document at that exact moment.
  5. When you have finished the sequence, click Stop Record.

How to Review and Save the Document

The moment you click stop, the Steps Recorder will instantly generate a preview of your compiled guide.

Scroll down through the preview window. You will see a chronological list of every action you took. Each step includes a clear, time-stamped screenshot with a green box highlighting exactly where your mouse clicked, accompanied by text descriptions like “User left click on ‘File’ (menu item)”.

To save the file:

  1. Click the Save button at the top of the preview window.
  2. Choose a location on your PC to save the file and give it a name (e.g., “Software Bug Report”).
  3. Click Save.

Windows will save the recording as a compressed .ZIP file. Inside the zip file is a single .MHT document. Anyone you send this file to can simply double-click it, and the fully formatted step-by-step guide will open cleanly in their standard web browser, requiring no special software to view.
