How to Automatically Sync Your Desktop and Documents to OneDrive in Windows 11

If your laptop is stolen or its hard drive suddenly fails, any files saved exclusively to your local Desktop or Documents folder are lost forever. Manually dragging files into a backup drive every Friday is a habit most people fail to maintain. Fortunately, Windows 11 includes deep integration with Microsoft OneDrive, allowing you to automatically and continuously back up your most important folders to the cloud without ever thinking about it.

What is OneDrive PC Folder Backup?

When you enable this feature, OneDrive essentially takes over your Desktop, Documents, and Pictures folders. Instead of those folders living purely on your local hard drive, they are synchronized directly with Microsoft’s servers. Every time you save a Word document to your Desktop, it is instantly uploaded to the cloud. If you log into a different computer or use the OneDrive mobile app, all your files will be there waiting for you.

How to Enable Folder Backup

You must have a Microsoft Account logged into your PC to use this feature. (Every Windows 11 user is given 5GB of free OneDrive storage by default, though an Office 365 subscription provides 1TB).

  1. Look at the bottom right corner of your taskbar (the System Tray, near the clock).
  2. Click the small blue or white cloud icon. If you do not see it, click the small “up arrow” to show hidden icons.
  3. The OneDrive panel will pop up. Click the Gear icon (Help & Settings) in the top right corner of this panel.
  4. Select Settings from the dropdown menu.
  5. In the Settings window, click the Sync and backup tab on the left sidebar.
  6. Click the Manage backup button.

Selecting Which Folders to Sync

A new window will appear showing three critical folders: Desktop, Documents, and Pictures.

  • By default, these might all be toggled off.
  • Click the toggle switch next to each folder you want to protect so it turns blue.
  • OneDrive will calculate how much space those folders currently consume and warn you if you do not have enough cloud storage available.
  • Click Save changes.

Understanding Sync Status Icons

Once you click save, OneDrive will immediately begin uploading your files in the background. You can close all the settings windows and continue working normally.

If you look at the files on your Desktop now, you will notice tiny new icons overlaid in their bottom left corners:

  • Blue circular arrows: The file is currently uploading or downloading.
  • Green circle with a checkmark: The file is safely backed up to the cloud and is also stored locally on your hard drive for offline access.
  • Blue cloud icon: The file is safely backed up to the cloud, but it is not taking up space on your local hard drive. If you double-click a file with this icon, Windows will rapidly download it from the cloud and open it seamlessly.
