How to Save and Bookmark Important Messages in Microsoft Teams

In fast-paced enterprise environments, Microsoft Teams channels and private direct chats generate hundreds of messages daily. Important meeting links, technical instructions, project specifications, and supervisor directives can easily become buried under subsequent conversational traffic. Microsoft Teams includes a built-in bookmarking mechanism—the Save message feature—that allows you to flag vital communications with a single click and access them in a centralised repository whenever needed.

Saving a Message in Teams Desktop or Web

Bookmarking an individual message or announcement requires only a few seconds:

  1. Launch Microsoft Teams on your desktop or browser.
  2. Navigate to the chat conversation or team channel containing the target message.
  3. Hover your mouse cursor over the specific message bubble you want to preserve.
  4. A floating reaction bar will appear above the upper-right corner of the message. Click the More options button (represented by three horizontal dots: ···).
  5. In the drop-down menu, select Save this message.
  6. A confirmation banner briefly flashes, and a small bookmark icon appears beside the message timestamp to denote its saved status.

How to Retrieve and View All Saved Messages

Once you have bookmarked messages across disparate channels and direct message threads, Microsoft Teams aggregates them into a dedicated review panel:

  1. Click on your Profile picture or initials located in the top-right corner of the Teams application window.
  2. From the account menu that expands, select Saved.
  3. Alternatively, click into the global search bar at the very top of Teams, type the command /saved, and press Enter.
  4. A dedicated Saved column will open along the left-hand pane, displaying every bookmarked message in reverse chronological order.
  5. Clicking on any saved entry in the list automatically transports your main view directly to the original conversation thread, highlighting the bookmarked message in yellow so you can read the surrounding context.

Unsaving Messages to Keep Your Archive Organised

To prevent your saved list from becoming cluttered over time as tasks reach completion, regularly purge outdated bookmarks:

  • In the Saved panel, locate the message you no longer need to retain.
  • Click the active purple bookmark icon in the top-right corner of the message summary card to unsave it immediately.
  • Alternatively, navigate directly to the message in its original channel or chat, click More options (···), and select Unsave this message.

Key Differences Between Saving and Pinning Messages

Teams offers both Pinning and Saving, each serving distinct collaborative purposes:

Feature Visibility Primary Purpose Location
Save Message Private (only visible to you) Personal bookmarking of tasks, reference notes, and files Personal profile /saved list
Pin Message Public (visible to all members) Highlighting critical announcements or links at the top of a channel Top banner of the chat or channel
