Difference Between Standard Posts and Announcements
Choosing an Announcement instead of a standard post provides distinct visual and functional advantages:
- Vibrant Coloured Banners: Replaces standard text subject lines with a prominent, full-bleed banner background across the top of the post.
- Custom Background Artwork: Allows channel owners and members to upload brand illustrations, corporate imagery, or contextual graphics to reinforce the topic.
- Distinct Channel Megaphone Icon: Displays a bold megaphone glyph next to the thread in the channel activity feed, signalling high priority to all team members.
- Multi-Channel Broadcasting: Enables posting the announcement across multiple designated channels simultaneously with a single click.
Creating and Styling an Announcement in Microsoft Teams
Publishing an announcement in any public or standard team channel takes only a moment:
- Open Microsoft Teams on desktop or web, and navigate to your target channel.
- Click the Start a post button at the bottom (or top) of the channel feed.
- In the message compose box, locate the post type selector located at the upper-left of the toolbar. By default, it reads Post.
- Click the drop-down menu and change the post type to Announcement.
- A large coloured banner card appears above the message area with the placeholder prompt “Headline”.
- Type your announcement title (e.g. Company Town Hall – Thursday 14:00).
- Below the headline, enter a sub-heading and the detailed body copy of your message, utilising rich text formatting, bullet points, and mentions (e.g.
@channelor@team) as necessary.
Customising Banner Colours and Uploading Custom Illustrations
To tailor the visual tone of your notice to the content:
- In the Announcement compose window, look at the far right-hand side of the coloured headline banner.
- Click the Colour scheme icon (the palette symbol) to choose from pre-set corporate colour themes (such as Crimson, Royal Blue, Teal, or Amber).
- Alternatively, click the Add background image icon (a picture symbol) next to the colour palette.
- In the file picker, select a local image (JPEG or PNG format). Microsoft Teams recommends a minimum image resolution of 918 x 120 pixels.
- Use the framing tool to zoom or adjust horizontal cropping until the focal point aligns neatly behind your headline text.
- Click Done to apply the graphic banner.
Broadcasting Across Multiple Channels Simultaneously
When company-wide alerts must reach cross-functional teams without duplicating copy manually:
- Before publishing, click the Post in multiple channels link at the top-right of the announcement compose box.
- Click Select channels.
- Tick the checkboxes beside every channel across different teams where this announcement should appear.
- Click Done.
- Click the paper aeroplane Post button to publish. Teams broadcasts the identical announcement across all selected channels instantaneously.
Moderating Replies and Controlling Discussion
To prevent announcement threads from derailing into lengthy side conversations:
- Restrict Replies: In the upper compose toolbar, click the Everyone can reply drop-down menu and switch it to You and moderators can reply. This locks the thread into an informational-only bulletin where general staff cannot post follow-up comments.
- Pin the Announcement: After posting, click the three-dot menu on the announcement and select Pin to dock the notification at the top of the channel’s information pane for new viewers.
