Cross-organizational collaboration between enterprises, vendors, and strategic partners traditionally forced users to switch tenants within the Microsoft Teams interface. Guest tenant switching disrupts productivity by severing presence status, delaying direct messages, and isolating users from their primary organizational calendar. With Microsoft Teams Shared Channels (Teams Connect), organizations can collaborate seamlessly within a single shared channel that appears alongside everyday internal channels in both organizations’ Teams desktops without tenant switching.
Standard vs Private vs Shared Channels in Microsoft Teams
Understanding channel architectural boundaries ensures compliance and tenant isolation are preserved:
| Channel Type | Membership Scope | Tenant Switching Required? | Storage Backend |
|---|---|---|---|
| Standard Channel | All members of the parent Microsoft 365 Team | No (Internal team members only) | Parent Team SharePoint Site document library |
| Private Channel | Subset of parent Team members | No (Restricted to internal subset) | Dedicated lightweight SharePoint site collection |
| Shared Channel (Teams Connect) | Internal and external individuals or entire external teams | No tenant switching; appears natively in both orgs | Independent SharePoint site collection with B2B direct connect |
Configuring Microsoft Entra ID Cross-Tenant Access Policies
Before a shared channel can admit external partners, tenant administrators in both organizations must establish reciprocal B2B Direct Connect trust in the Microsoft Entra admin center:
- Sign in to the Microsoft Entra admin center (
entra.microsoft.com) with Global Administrator or Security Administrator credentials. - Navigate to Identity > External Identities > Cross-tenant access settings.
- Select Organizational settings and click + Add organization.
- Enter the partner organization’s primary domain name or Entra Tenant ID, then click Add.
- Click Inbound access for the newly added partner:
- Under B2B direct connect, select Customize settings.
- On the External users and groups tab, choose Allow access for all users or designated security groups.
- On the Applications tab, choose Allow access > Office 365 (including Teams).
- On the Trust settings tab, check Trust multifactor authentication (MFA) from Microsoft Entra tenants so external partners do not need to register redundant 2FA methods.
- Click Outbound access and replicate identical B2B Direct Connect allowances.
- Crucial Step: The administrator at the partner organization must perform the exact reciprocal configuration in their Entra admin portal pointing back to your tenant.
Enabling Shared Channels in Microsoft Teams Admin Center
Ensure organizational Teams meeting and messaging policies permit shared channel provisioning:
- Sign in to the Microsoft Teams admin center (
admin.teams.microsoft.com). - Navigate to Teams > Teams policies.
- Select your global (Org-wide default) policy or custom user policy.
- Under the General section, toggle these policies to On:
- Create shared channels: Permits team owners to establish shared channels.
- Invite external users to shared channels: Allows members to invite B2B Direct Connect guests.
- Join external shared channels: Allows internal employees to accept invites into partner organizations’ channels.
- Click Save to commit policy updates.
Creating a Shared Channel and Inviting External Partners
Once trust policies are active, provision the collaborative channel:
- In Microsoft Teams, navigate to your target Team and click the More options (…) menu adjacent to the team name.
- Select Add channel.
- Enter a channel name (e.g., “Vendor-API-Integration”) and operational description.
- Under Channel type, click the dropdown and select Shared.
- Check Share with everyone on the team if all existing internal members should have access, or uncheck to restrict access.
- Click Create.
- In the membership sharing dialog:

[email protected]) and click Share. - To share with an entire external team: Click Share with a team, select With a team you own or With another team, and enter the external team owner’s email address to initiate a cross-tenant team invitation.
- To invite an individual external user: Enter their full corporate email address (e.g.,
Auditing Compliance and Data Governance
Protect organizational intellectual property within shared channels:
- Microsoft Purview DLP: Data Loss Prevention policies monitor shared channel chats in real time. If an external or internal participant pastes credit card numbers, social security numbers, or internal confidential tags, DLP filters block the message payload instantly.
- Conditional Access Enforcement: If your organization requires compliant devices, B2B direct connect evaluates partner device compliance flags passed via the trusted Entra ID federation pipe.
