How to Save a Custom PowerPoint Slide Layout as a Reusable Theme Template (.potx)

If you frequently create presentations for your company, school, or personal brand, you likely spend a significant amount of time adjusting fonts, inserting logos, and tweaking colour palettes before you even begin writing your content. Repeatedly manually formatting slides is an enormous waste of time.

Microsoft PowerPoint allows you to permanently save all your custom formatting, master slide layouts, and corporate branding into a single, reusable template file. This ensures every new presentation you create automatically adheres to your specific design guidelines.

Step 1: Design Your Master Slide

Before you can save a template, you must first design it using the Slide Master tool. This is where the core architecture of your presentation is built.

  1. Open a blank PowerPoint presentation.
  2. Navigate to the View tab on the main ribbon and click Slide Master.
  3. In the left-hand pane, scroll to the very top and select the largest slide (this is the primary Master Slide). Any changes made here will cascade down to all other layouts below it.
  4. Apply your customisations:
    • Insert Logos: Go to Insert > Pictures to place a logo in the corner.
    • Change Fonts: Highlight the title boxes and change the typography to your brand fonts.
    • Set Colours: Click the “Colors” dropdown on the Slide Master ribbon to define your exact brand hex codes.
  5. Once you are satisfied with the design, click Close Master View on the ribbon to return to the normal editing mode.

Step 2: Save as a PowerPoint Template (.potx)

Now that your design is perfect, you must save the file in a specific format to ensure it behaves as a reusable template rather than a standard presentation.

  1. Click File in the top left corner, then select Save As (or Save a Copy).
  2. Click the Browse button to open the standard file explorer window.
  3. Name your template something descriptive (e.g., “Corporate_Brand_Template_2024”).
  4. Click the Save as type: dropdown menu below the file name.
  5. Scroll through the list and select PowerPoint Template (*.potx). Do not select standard PowerPoint Presentation (*.pptx).
  6. Crucial Step: The moment you select the .potx format, PowerPoint will automatically change the save location to a hidden system folder called Custom Office Templates. Do not change this location. Let PowerPoint save it there.
  7. Click Save.

Step 3: Using Your New Template

Now, whenever you need to start a fresh presentation using your branding, it is instantly available directly within the PowerPoint launch screen.

  1. Open Microsoft PowerPoint.
  2. On the startup screen (where you would normally select “Blank Presentation”), click the New tab on the left-hand side.
  3. Just below the search bar, you will see two words: “Office” and “Personal” (or “Custom”). Click on Personal.
  4. Your saved custom template will appear here. Click it to immediately generate a brand-new presentation populated with all your predefined fonts, colours, and master layouts.
