Modern corporate and personal email accounts are inundated daily with automated notifications, promotional marketing flyers, newsletters, and receipts alongside urgent workplace communications. Sifting through this constant influx can easily lead to critical correspondence being overlooked. Microsoft Outlook provides an intelligent sorting system known as Focused Inbox. By splitting your inbox into two dedicated tabs—Focused for high-priority, personal, and project-critical messages, and Other for bulk announcements and automated updates—Focused Inbox helps you maintain clarity and address urgent matters first.
How Focused Inbox Learns Your Priorities
Focused Inbox employs machine learning intelligence that evaluates several email signals to determine where incoming mail belongs:
- Sender Relationship: Messages sent directly from frequent correspondents, team members in your organisation, and contacts saved in your address book are routed to the Focused tab.
- Email Structure: Bulk distribution lists, system alert notifications, marketing newsletters, and automated software receipts are categorised into the Other tab.
- User Training: Every time you manually move an email between the Focused and Other tabs, Outlook refines its sorting algorithms to reflect your personal preferences for that sender.
How to Enable Focused Inbox in Microsoft Outlook
Depending on your workplace environment, you can enable Focused Inbox across Outlook on the web, Windows desktop, or macOS.
Method 1: In Classic Outlook for Windows Desktop
- Open the Microsoft Outlook desktop application on Windows.
- Click on the View tab on the top Ribbon.
- Locate the Show Focused Inbox button in the ribbon controls and click it.
- The Focused and Other tabs will immediately appear at the top of your message list.
Method 2: In New Outlook for Windows and Outlook on the Web
- Open New Outlook or sign into your account at outlook.office.com.
- Click the Settings gear icon located in the upper right corner of the window.
- Select Mail from the left sidebar menu, then click Layout.
- Under the Focused Inbox section, select the radio button labelled Sort messages into Focused and Other.
- Click Save to apply your configuration.
Method 3: In Outlook for Mac
- Launch Outlook on your Mac.
- Select the Organise tab from the top toolbar.
- Click the Focused Inbox toggle button to enable the split inbox view.
How to Train and Customise Focused Inbox Sorting
While Outlook’s predictive algorithms are generally accurate, you will occasionally encounter newsletters landing in Focused or important client messages ending up in Other. Training the algorithm takes just two clicks.
Moving Single Messages vs Creating Permanent Rules
- Locate the misplaced message in either the Focused or Other tab.
- Right-click the message (or two-finger tap on Mac).
- Choose between two options:
- Move to Focused (or Move to Other): Moves only the selected individual email to the other tab without altering future messages from that sender.
- Always Move to Focused (or Always Move to Other): Creates a persistent routing rule ensuring all future emails received from that specific sender address automatically route to your chosen tab.
Configuring Notifications and Badge Counts
To prevent notifications from interrupting your concentration throughout the workday, configure notification alerts to trigger exclusively for Focused messages:
- In Outlook on Windows or Mac, open Settings > General > Notifications.
- Under Notification rules, select Focused Inbox only.
- Now, notifications, audio chimes, and taskbar badges will only activate when high-priority correspondence arrives in your Focused tab, allowing marketing emails in Other to arrive silently.
