Google Keep is a brilliant, lightweight application for jotting down quick ideas, creating checklists, and storing random bits of information. While it excels as a personal digital notepad, its true power lies in its seamless collaboration features. You don’t need to text a grocery list to your roommate or email a brainstorming session to a coworker; you can simply share the note directly.
When you share a Google Keep note, it instantly appears in the recipient’s own Google Keep app. Crucially, the note updates in real-time. If your spouse checks off “Milk” at the grocery store, that item is instantly crossed off on your screen at home.
How to Share a Note (Desktop Web Browser)
If you are managing your notes on a computer, the sharing process takes only a few seconds.
- Go to keep.google.com and log into your Google account.
- Find the specific note or checklist you want to share.
- Hover your mouse cursor over the note. A small toolbar of icons will appear at the bottom of the note card.
- Click the Collaborator icon (it looks like a small silhouette of a person with a plus sign next to it).
- A pop-up window will appear. In the text box labeled “Person or email to share with,” type the email address of the person you want to invite.
- (Note: The recipient must have a Google account to edit the note).
- Press Enter to select their name from the dropdown list.
- Click the Save button.
You will now see the recipient’s profile picture attached to the bottom of the note card, indicating it is actively shared.
How to Share a Note (Mobile App – iOS & Android)
The process is nearly identical on a smartphone, though the menus are slightly more compressed.
- Open the Google Keep app on your iPhone or Android device.
- Tap the specific note you want to share to open it fully.
- Look at the bottom right corner of the screen and tap the three vertical dots (the menu icon).
- Tap on Collaborator.
- Type the email address or name of the person you want to invite.
- Tap their name when it appears in the suggestions.
- Tap the Save button (or the checkmark) in the top right corner of the screen.
How to Remove a Collaborator (Stop Sharing)
If the project is finished or you no longer want the other person to see your edits, you can revoke their access instantly. They will not receive a notification that they were removed; the note will simply disappear from their app.
- Open the shared note (either on desktop or mobile).
- Click or tap on the profile picture of the collaborator at the bottom of the note.
- A list of people who have access will appear. Click the ‘X’ next to the person’s name.
- Click Save.
The note is now private again, entirely under your control.
Understanding Send vs. Share
It is important to understand the difference between adding a collaborator and simply “sending” a note.
If you tap the three dots on the mobile app and select Send instead of Collaborator, Google Keep will simply copy the text of your note and paste it into a blank email or text message. This is a one-time static copy. The recipient cannot edit your original note, and they will not see any future updates you make.
