How to Enable and Use Host Management Controls in Google Meet

Maintaining security, order, and focus during large virtual webinars, company all-hands, and online classrooms requires robust administrative permissions. In Google Meet, Host Management gives meeting organisers granular authority over what attendees can do during calls. By configuring host controls, you can prevent unwanted screen interruptions, mute noisy participants, disable chat distractions, assign trusted co-hosts, and end calls for everyone simultaneously.

What is Host Management in Google Meet?

Host Management is a native meeting moderation toolkit built into Google Meet for Google Workspace and personal Google accounts. When Host Management is enabled, the primary organiser unlocks safety switches that regulate:

  • Screen Sharing: Decides whether attendees can present their screens or if sharing is restricted strictly to designated hosts.
  • Chat Messages: Allows hosts to lock down the in-meeting text chat channel during important keynote presentations.
  • Microphone and Video Access: Globally disables participant microphones or cameras, preventing accidental audio disruptions or background video clutter.
  • Reactions: Toggles attendee emoji reactions on or off to preserve a formal business environment.
  • Co-Host Delegation: Grants administrative privileges to up to 25 trusted colleagues so they can admit guests from the waiting room and moderate discussions.

How to Turn On Host Management in Google Meet

Host controls can be configured inside an active call or preset within Google Calendar prior to meeting commencement:

Method 1: During an Active Meeting

  1. Join your scheduled call on Google Meet from your web browser.
  2. Look at the bottom right corner of the meeting window and click the Host controls button (represented by a blue padlock icon).
  3. In the Host controls sidebar, toggle the master switch for Host management to the On position.
  4. Once active, several safety toggles will immediately populate the panel.

Method 2: In Google Calendar Before the Call

  1. Open Google Calendar and double-click the scheduled meeting event.
  2. Click the gear icon (Video call options) next to the Join with Google Meet button.
  3. In the pop-up window, select Host controls from the left-hand navigation menu.
  4. Check the box labelled Host management and choose your default meeting restrictions.
  5. Click Save to lock in the permissions before attendees log in.

Managing Participant Permissions and Safety Toggles

With Host Management active, you can toggle individual capabilities on and off dynamically as your presentation evolves:

  • Share their screen: Turn this switch off to ensure external guests or unauthorized attendees cannot hijack the main presentation display.
  • Send chat messages: Toggle off during keynotes to keep focus on the speaker, then toggle back on when you reach the audience Q&A portion.
  • Turn on their microphone: Mute all participants at once. Attendees will not be able to unmute themselves until you re-enable this toggle.
  • Turn on their video: Disables attendee webcams to conserve collective network bandwidth in large conference calls.

Assigning Co-Hosts in Google Meet

If you are presenting slides, moderating the lobby waiting room and chat questions alone can be challenging. You can appoint co-hosts to assist you:

  1. Click the People icon in the bottom right meeting ribbon to open the participant list.
  2. Locate the colleague you wish to promote to co-host.
  3. Click the three vertical dots next to their name.
  4. Select Add as co-host.
  5. Your appointed co-host now gains access to the Host controls padlock, allowing them to admit guests, mute microphones, and monitor breakout rooms alongside you.

Ending the Call for Everyone

When the meeting concludes, leaving the room without closing the session allows unsupervised attendees to remain on the call. To shut down the room securely:

  1. Click the red Leave call handset button.
  2. Select End call for everyone rather than just leaving the call yourself.
  3. Google Meet immediately disconnects all remaining participants and revokes access to the live conference link, preserving meeting privacy.

Leveraging Host Management transforms Google Meet into a secure, controlled broadcasting environment suitable for executive briefings, educational lectures, and confidential corporate discussions.
