How to Use Breakout Rooms in Google Meet for Collaborative Sessions

Why Large Video Meetings Suffer from Low Participation

When a virtual meeting exceeds fifteen or twenty participants, natural conversational dynamics break down. In large calls, a handful of vocal attendees inevitably dominate the microphone, while quieter colleagues, students, or clients disengage and remain on mute. For workshops, brainstorming sprints, classroom seminars, and training retrospectives, holding productive discussions in one massive plenary room is virtually impossible.

To foster active participation and intimate small-group collaboration, Google built Breakout Rooms directly into Google Meet. Available for Google Workspace accounts (Business, Enterprise, and Education editions), Breakout Rooms allow meeting hosts to split a main call into up to 100 parallel sub-rooms, monitor progress across groups, and automatically recall everyone when time expires.

Host Prerequisites and Account Requirements

Breakout Rooms are an administrative collaboration feature available across Google Workspace tiers:

  • Eligible Accounts: Google Workspace Business Standard/Plus, Enterprise Essentials/Standard/Plus, Teaching and Learning Upgrade, and Education Plus. Free personal Google Accounts cannot host breakout rooms, but can participate in them.
  • Host Role: Only meeting organizers or designated Co-hosts can create, configure, and manage breakout sessions.
  • Browser Support: Hosts must configure breakout rooms from a desktop web browser (Chrome, Edge, Firefox, or Safari).

Step-by-Step Tutorial: Creating Breakout Rooms During a Call

  1. Join or start your Google Meet video call from a desktop browser.
  2. In the bottom-right corner of the meeting window, click the Activities icon (the triangle, square, and circle shapes).
  3. Click Breakout rooms from the activities menu.
  4. Click the Set up breakout rooms panel (represented by a pencil icon).
  5. Choose Room Count: Use the drop-down menu to select how many rooms to create (up to 100 rooms).
  6. Configure Participant Assignment:
    • Shuffle: Google automatically mixes and distributes participants evenly across rooms.
    • Manual Drag-and-Drop: Click and drag attendee names directly between rooms to balance team skill sets.
    • Clear: Unassigns all participants, allowing you to build groups from scratch.
  7. Set a Countdown Timer (Highly Recommended): Tick the box beside Timer, and specify a duration (for example, 15 minutes). Google Meet will display a visible countdown timer inside every breakout room so attendees know exactly when their session concludes.
  8. Click Open rooms. Attendees will receive a prompt inviting them to join their designated sub-room.

How to Manage Active Breakout Rooms as a Host

While participants are collaborating in their respective rooms, the host maintains complete supervisory control from the main call interface:

  • Hopping Between Rooms: On the Breakout rooms panel, click Join next to any active room to drop in, answer questions, and observe team discussions. To leave, click Leave to return to the master lobby.
  • Broadcasting Announcements: Need to give participants a five-minute warning or share a resource link? In the Breakout rooms panel, click Broadcast a message, type your update, and press send. A prominent banner appears across every active sub-room simultaneously.
  • Closing Rooms Early: If all teams finish their exercises ahead of schedule, click Close rooms. Participants will see a 30-second countdown warning before the platform automatically routes everyone back into the main meeting room.

Pre-Assigning Breakout Rooms in Google Calendar

If you are planning an important workshop with predefined project teams, do not waste live meeting time dragging names manually. Pre-assign participants via Google Calendar:

  1. Open Google Calendar and create or edit your meeting event.
  2. Beside “Join with Google Meet”, click the Change conference settings gear icon.
  3. In the settings dialogue, click Breakout rooms down the left sidebar.
  4. Pre-allocate your invited guests into specific rooms and click Save. When the meeting goes live, your groups are already configured and ready to launch.

Frequently Asked Questions

Are Breakout Rooms recorded if the host records the Google Meet call?

No. When a host clicks Record in Google Meet, only audio and video from the main plenary room are captured. Individual breakout room discussions are not recorded.

Can participants ask the host for help from inside a Breakout Room?

Yes. Participants see an “Ask for help” button inside their room. When clicked, the host receives an instant notification identifying which specific room requested assistance.
