The Unwanted Checkboxes
Google Docs frequently rolls out new “Smart Canvas” features designed to turn a static document into an interactive workspace. One of these features involves automated task management. If you type a specific phrase, such as “Todo:” or “Action Item:” followed by a name and a task, Google Docs will sometimes automatically intervene, replacing your plain text with an interactive smart chip checkbox and prompting you to assign the task to a specific Google Workspace user. While excellent for project management, this automation is incredibly disruptive if you are writing a script, drafting technical documentation, or simply typing out meeting notes where you specifically do not want to trigger internal corporate workflows.
Disabling the Smart Formatting
To keep your text exactly as you type it and stop Google Docs from automatically creating action items or smart chip checklists, you must disable the specific automatic formatting rules.
Open your Google Doc. Look at the primary menu bar across the top of the screen and click on Tools. From the dropdown menu, select Preferences. A settings dialogue box will appear in the center of your screen. Stay on the General tab (do not go to Substitutions). Scan down the list of formatting options. Look for the specific checkbox labelled Automatically detect markdown and the checkbox for Automatically detect lists. The action item trigger is heavily tied to these intelligent formatting algorithms. Uncheck both of these boxes. Once unchecked, click the blue OK button. You can now type phrases like “Action Item:” without the document aggressively trying to convert them into interactive UI elements.
