The Formatting Frustration
When you are compiling a report in Google Docs, you often need to copy information from various sources—web pages, PDFs, or other documents. By default, when you press Ctrl+V (or Cmd+V) to paste, Google Docs attempts to preserve the original formatting of the copied text. This means if you copy a massive header from a website, Docs will automatically change the font size, color, and typeface of that specific pasted text to match the source, creating a jarring, ugly document that requires immediate, manual reformatting to look professional.
Pasting Without Formatting
To maintain a clean, consistent document style and stop Google Docs from automatically changing font sizes and styles when pasting text, you must utilize the “Paste without formatting” command.
Instead of using the standard paste command, you need to use a slightly different keyboard shortcut. When you are ready to insert copied text into your document, click where you want the text to go. Then, press Ctrl+Shift+V (on Windows/Linux) or Cmd+Shift+V (on a Mac). This specific command strips all embedded HTML, CSS, and rich text data from the clipboard before inserting the text. Google Docs will then automatically apply the exact font size, typeface, and color of the paragraph you are currently typing in, seamlessly integrating the new text into your existing document structure without any visual disruption. You can also access this command by right-clicking and selecting “Paste without formatting” from the context menu.
