Google Docs is an excellent tool for drafting and collaborating on documents, but when it comes time to distribute a finalized file—like a resume, an invoice, or a formal report—sending a live Google Docs link isn’t always the most professional or secure method. The recipient might accidentally edit the file, or they might open it in a different program (like Microsoft Word) that breaks your carefully crafted formatting. To ensure your document looks exactly the same on every device and cannot be easily altered, you should export it as a Portable Document Format (PDF) file.
How to Export to PDF on a Computer (Web Browser)
If you are working on a PC, Mac, or Chromebook using a web browser, converting your document to a PDF is a built-in feature that requires only a few clicks.
- Open the Google Docs document you want to convert.
- Click on File in the top-left corner of the menu bar.
- Hover your mouse over the Download option. A secondary menu will fly out to the side.
- Click on PDF Document (.pdf).
Google Docs will immediately convert the file and download it to your computer’s default “Downloads” folder. The resulting PDF will retain all your fonts, images, margins, and formatting exactly as they appeared on your screen.
How to Export to PDF on a Mobile Device (iOS & Android)
You can also quickly generate a PDF if you are working from the Google Docs mobile app on your smartphone or tablet.
- Open the Google Docs app and open the document you wish to export.
- Tap the three vertical dots (menu icon) in the top-right corner of the screen.
- Tap on Share and export.
- Tap on Save as… (or sometimes labeled as “Send a copy” depending on your exact app version).
- A list of file formats will appear. Select PDF document (.pdf).
- Tap OK.
Your device will generate the PDF. Depending on your operating system (iOS or Android), you will then be prompted to choose what to do with the new file. You can save it directly to your device’s local storage, upload it to Google Drive, or instantly share it via an email or messaging app.
Why Choose PDF?
Using the PDF format for final distribution is best practice for several reasons:
- Universal Compatibility: Virtually every modern computer, smartphone, and tablet has a built-in PDF viewer. The recipient does not need a Google account or specialized software to read it.
- Formatting Lock: A PDF acts like a digital photograph of your document. If you used a specific font or exact image placement, the PDF guarantees it won’t shift or break when opened on a different screen size.
- Professionalism: Sending a PDF signals that a document is finalized and ready for review or signature, rather than a draft still open to collaborative editing.
