When distributing sensitive business proposals, draft manuscripts, or confidential legal agreements, it is crucial to clearly label the document’s status. Adding a watermark—a faint, semi-transparent image or text stamped across the background of the page—is the professional standard for protecting your work. A watermark instantly communicates to the reader that the document is “CONFIDENTIAL,” a “DRAFT,” or “DO NOT COPY.” Google Docs includes a dedicated, built-in tool that makes applying text or image watermarks incredibly simple across your entire document.
How to Add a Text Watermark
A text watermark is the fastest way to label a document’s status without needing external graphics.
- Open your document in Google Docs.
- In the top menu bar, click on Insert.
- Scroll down the menu and click on Watermark.
- A “Watermark” sidebar panel will slide open on the right-hand side of your screen.
- At the top of the sidebar, click the Text tab.
- In the Text input box, type the word or phrase you want to use (e.g., “DRAFT,” “CONFIDENTIAL,” “SAMPLE”).
- As you type, the watermark will instantly appear in the background of your document as a live preview.
- Format the Text: Use the options below the text box to customize the appearance. You can change the font type, increase the size, make it bold, or change the color (a light grey is usually best so it doesn’t obscure the actual document text).
- Adjust Transparency: Use the “Transparency” slider to make the text fainter or more solid. It should be barely visible in the background.
- Adjust Positioning: Choose whether the text runs diagonally across the page or horizontally.
- Click the blue Done button at the bottom of the sidebar to apply the watermark to every page.
How to Add an Image Watermark
If you want to brand your document with your company’s logo, you can use an image instead of text.
- Open the Watermark tool by clicking Insert > Watermark.
- In the sidebar, ensure you are on the Image tab.
- Click the large square box that says Select image.
- A window will open allowing you to upload an image from your computer, select one from your Google Drive, search Google Images, or take a picture with your webcam. Locate and select your logo file.
- Once the image loads into the document, use the sidebar to adjust its appearance.
- Scale: Use the dropdown menu to make the image larger or smaller relative to the page size.
- Faded Checkbox: Ensure the Faded box is checked. This automatically applies transparency to the image so it acts as a true background watermark rather than an opaque picture blocking your text.
- Click Done.
How to Remove or Edit a Watermark
If a document moves from “Draft” to “Final” status, you will need to remove the watermark before publishing.
- Open the document.
- Click Insert > Watermark to reopen the sidebar.
- To simply delete the watermark completely, look at the very bottom of the sidebar and click the Remove watermark button.
- If you just want to edit the existing watermark (e.g., changing “Draft” to “Final”), make your changes in the sidebar and click Done.
