How to Use the ‘Find a Time’ Feature in Google Calendar to Schedule Meetings

Scheduling a meeting with multiple colleagues can quickly turn into a frustrating chain of emails as everyone tries to coordinate their availability. Google Calendar offers a powerful built-in tool called “Find a Time” that eliminates this back-and-forth by visually comparing the schedules of all invited guests side-by-side, allowing you to pinpoint the perfect open slot instantly.

Why Use the Find a Time Feature?

Instead of guessing when someone might be free, “Find a Time” leverages the calendar data of your Google Workspace colleagues to display their busy and free periods. This is especially useful for large teams or cross-departmental meetings where individual schedules are complex. It respects privacy settings by only showing blocks of “Busy” time without revealing the private details of their appointments.

Step 1: Create a New Event and Add Guests

To use the tool, you must first initiate a calendar event and invite the relevant people.

  1. Open Google Calendar in your web browser.
  2. Click the Create button in the top left corner and select Event.
  3. Give your meeting a descriptive title.
  4. Click on the Add guests field and type in the email addresses or names of the colleagues you want to invite.
  5. Do not worry about setting the exact time yet.

Step 2: Access the Find a Time Interface

Once your guests are added, you can utilize the comparison tool.

  1. In the event creation window, click the Find a Time tab located just below the date and time settings (next to the Event Details tab).
  2. The interface will change to display a day or week view.
  3. You will see your schedule alongside the schedules of all the guests you just invited. Each person’s calendar will appear as a separate column.
  4. Grey blocks represent times when guests are busy. White spaces represent times when they are free.

Step 3: Select the Perfect Meeting Slot

Now you can visually identify overlapping free time.

  1. Look for a completely empty horizontal band across all guest columns. This indicates a time when everyone is available.
  2. If you cannot find a mutual time on the current day, use the left and right arrows at the top to navigate to the next day or week.
  3. Once you spot an ideal time slot, simply click directly onto the grid at that time.
  4. Google Calendar will automatically update the meeting start and end times in the event details to match the block you clicked.
  5. Click Save to confirm the meeting and send the invitations to your guests.

By using the “Find a Time” feature, you can respect your colleagues’ schedules and drastically reduce the administrative friction of coordinating team meetings.
