How to Set Up an Out of Office Vacation Responder in Gmail

Stepping away from work for an annual holiday, personal leave, or a multi-day conference should not leave clients, team members, and urgent contacts wondering why their emails are going unanswered. Instead of manually checking your inbox while trying to relax or travel, you can configure Gmail’s built-in Vacation Responder. When activated, Gmail automatically responds to incoming messages with a polite, personalised status update explaining your absence and providing alternative emergency contacts.

How the Gmail Vacation Responder Works

Gmail includes built-in safeguards to prevent auto-reply loops and unnecessary spam:

  • One Response per Contact: Gmail only sends the vacation auto-reply to a specific sender once every 4 days, unless that person emails you again after you edit your vacation message.
  • Spam and Newsletter Protection: Messages classified as spam or automated newsletter digests will not trigger an automatic reply.
  • Privacy Controls: You can restrict the auto-responder so only people listed in your Google Contacts or within your corporate Google Workspace domain receive it.

How to Configure Vacation Responder on Desktop

Setting up your auto-responder from your web browser takes less than two minutes:

  1. Open Gmail on your computer.
  2. Click the Settings gear icon in the upper-right corner and click See all settings.
  3. Ensure you are on the General tab, then scroll down toward the bottom of the page to the Vacation responder section.
  4. Select the radio button for Vacation responder on.
  5. Define your coverage timeline:
    • Set the First day using the interactive date picker.
    • Check the Last day box and select your return date so the responder turns off automatically when you return to work.
  6. Enter a clear subject line, such as Out of Office: [Your Name] until [Date].
  7. In the rich-text message box, draft your auto-reply text including expected response time and alternate colleague email addresses.
  8. Optional: Tick Only send a response to people in my Contacts to safeguard your contact details from unknown senders.
  9. Scroll to the very bottom and click Save Changes.

  2. Tap the hamburger menu (☰) in the top-left corner and select Settings.
  3. Tap on your email account.
  4. Tap on Vacation responder (under General).
  5. Toggle the switch to On, configure your dates and message body, and tap Save (or Done on iOS).
