While Google Calendar is an excellent tool for managing your daily schedule, sometimes you need to extract your schedule for use outside of the Google ecosystem. Whether you need to import your itinerary into a different calendar app, analyze your time-management habits in Microsoft Excel, or provide a raw data export for an employer, Google provides a way to export everything.
However, Google exports calendar data in the universal .ics (iCalendar) format by default, not the .csv (Comma Separated Values) format preferred by spreadsheet applications. To get a CSV file, you must use a specific workaround.
Step 1: Export Your Calendar as an ICS File
First, we must extract the raw data from Google.
- Open a web browser and navigate to calendar.google.com. (This cannot be done from the mobile app).
- Click the Gear icon in the top-right corner and select Settings.
- In the left-hand sidebar, click on Import & export.
- Under the “Export” section, you will see a button labeled Export. Click it.
- Google will immediately generate and download a ZIP file to your computer containing the .ics files for all your calendars.
- Locate the downloaded ZIP file on your computer and extract (unzip) it to reveal the .ics file.
Step 2: Convert the ICS File to CSV
Since Google refuses to output a CSV directly, you must convert the .ics file. You have two options here: using a free online converter, or importing the data into Outlook first.
Method A: Using an Online Converter (Fastest)
If your calendar does not contain highly sensitive corporate secrets, the fastest method is to use a free online tool.
- Search the web for a free “ICS to CSV converter” (there are dozens of safe, reputable websites dedicated entirely to this single task).
- Upload the .ics file you extracted in Step 1.
- Click Convert and download the resulting .csv file.
Method B: Using Microsoft Outlook (Most Secure)
If your calendar contains confidential information, you should handle the conversion locally using the desktop version of Microsoft Outlook.
- Open the Outlook desktop app on your PC.
- Go to File > Open & Export > Import/Export.
- Select Import an iCalendar (.ics) or vCalendar file (.vcs) and click Next.
- Browse to your downloaded .ics file and select it. Click Import. (Your Google events are now inside Outlook).
- Go back to File > Open & Export > Import/Export.
- This time, select Export to a file and click Next.
- Select Comma Separated Values (CSV) and click Next.
- Select the Calendar folder you just imported into, click Next, and save the CSV file to your hard drive.
You can now open this CSV file in Excel, Google Sheets, or Apple Numbers to view your schedule in a perfect row-and-column layout.
