When collaborating on important business proposals, shared spreadsheets, or project briefs, knowing whether collaborators or external clients have actually opened your document is vital. In Google Workspace and Google Drive, the built-in Activity Dashboard provides detailed analytics on who viewed your files, when they last accessed them, and how viewing trends have evolved over time. Understanding how to interpret and manage this dashboard allows you to keep track of project momentum whilst maintaining complete control over your personal privacy.
What Information the Activity Dashboard Tracks
The Activity Dashboard aggregates several key engagement metrics across Google Docs, Sheets, and Slides:
- Viewer History: Displays a chronological roster of collaborators within your organisation who have opened the document, along with their most recent timestamp.
- Viewer Trend: Illustrates daily or weekly viewing volume in a clean bar chart, showing spikes in readership after document updates or email notifications.
- Comment Trend: Charts the creation of comments, suggested edits, and resolved discussion threads over the lifecycle of the file.
- Sharing History: Records an audit trail of when the document was shared, permission changes (viewer, commenter, editor), and who distributed the link.
- Privacy Settings: Gives individual users the ability to opt out of appearing in viewer logs on a per-file or account-wide basis.
How to Open the Activity Dashboard
You can access the dashboard directly from within any active document where you have edit permissions:
- Open the document, spreadsheet, or presentation in Google Drive.
- In the upper right-hand corner of the toolbar, locate the small icon depicting a zig-zag arrow pointing upwards (situated next to the comment history button).
- Click this Activity dashboard button (or navigate to Tools > Activity dashboard in the menu).
- A modal dialog will open displaying the Viewers tab by default.
Analysing Viewers and Engagement Trends
The dashboard provides actionable insights into collaborative workflows:
- Click the Viewers tab to review which invited colleagues have reviewed the file. A badge indicates whether they viewed it recently or have never opened it.
- Click Viewer trend to see which days of the week generate the highest readership.
- Click Comment trend to monitor feedback cycles and measure how actively team members are contributing annotations.
- Click Sharing history to see an immutable log of when access was granted to specific team members or external email addresses.
Managing Your Personal Viewing Privacy
If you prefer not to broadcast to document owners when you read their files, Google Drive allows you to adjust your personal tracking permissions:
- Open the Activity Dashboard in any document.
- Click on the Privacy settings tab on the left side of the dashboard window.
- Under Account setting, toggle the switch off next to Show my view history for all Docs, Sheets, and Slides files if you want universal anonymity.
- Alternatively, under Document setting, toggle off the switch for only the currently opened file if you wish to remain invisible on a specific document.
- Click Save to commit your privacy preferences.
