How to Create and Customise Priority Workspaces and Shortcuts in Google Drive

Managing extensive cloud repositories across Google Drive often leads to fragmented workflows. When collaborating across multiple shared drives, nested departmental directories, and shared client folders, locating relevant files for an ongoing project can consume valuable minutes each day. While traditional folder hierarchies dictate rigid storage boundaries, Google Workspace includes an intelligent productivity feature known as Priority Workspaces. Workspaces allow users to curate task-specific clusters of files from disparate drives into a unified visual dashboard without duplicating files, altering access permissions, or moving originals.

Understanding Priority Workspaces vs Traditional Folders

Traditional cloud folder structures force files into a single taxonomic location. Workspaces introduce flexible contextual grouping:

  • Virtual Aggregation: Adding a file to a Priority Workspace creates a direct pointer. The physical file remains in its original Shared Drive or personal folder.
  • Zero Permission Impact: Adding files to a workspace does not alter existing sharing permissions or disclose private files to unintended audiences.
  • Cross-Location Flexibility: A single workspace can bundle spreadsheets from a personal drive, PDFs from a vendor folder, and presentation slides from a company-wide Shared Drive.
  • Drive Shortcuts: Lightweight pointers (replacing legacy Shift + Z multi-parenting) that enable seamless cross-directory navigation.

Enabling Priority View in Google Drive

Priority Workspaces are available to all Google Workspace enterprise, business, and education tiers:

Step 1: Navigating to the Priority Dashboard

  1. Open Google Drive in your web browser (drive.google.com).
  2. In the left-hand navigation sidebar, look for the Priority tab located at the very top (above My Drive).
  3. If the Priority tab is hidden, click the Settings gear icon in the top-right corner, select Settings, scroll down to General, and check Make Priority my default home page.

Creating and Curating a Project Workspace

Follow these steps to construct an active project workspace:

Step 1: Initiating a New Workspace

  1. In the Priority dashboard, scroll down below the suggested files section to the Workspaces section.
  2. Click the Create workspace button.
  3. Enter a descriptive name for your current project (e.g., Q4 Financial Review or Website Redesign 2026) and click Create.

Step 2: Adding Files to the Workspace

  1. Google Drive automatically scans your recent activity and suggests relevant documents matching the workspace title.
  2. Click Add files to open the file selection sidebar.
  3. Browse through Recent, My Drive, or Shared drives to pick relevant files (up to 25 files per workspace).
  4. Click Insert. The files appear immediately inside your dedicated workspace card on the Priority homepage.

Managing and Organising Drive Shortcuts

While Workspaces provide a temporary project dashboard, Google Drive Shortcuts provide persistent navigational pointers inside regular folder directories.

Step 1: Creating a File or Folder Shortcut

  1. Locate any target file or folder in Google Drive.
  2. Right-click the item and select Organise > Add shortcut (or press Shift + S).
  3. In the destination modal, browse to the specific folder where you want the shortcut to reside.
  4. Click Add shortcut. The shortcut icon appears marked with a distinctive curved arrow badge.

Step 2: Finding Original File Paths from Shortcuts

If you encounter a shortcut and need to locate the original master document:

  1. Select the shortcut item in Google Drive.
  2. Open the Details pane on the right sidebar (or press D).
  3. Click Shortcut details to view the original location and click the destination link to jump directly to the parent folder.

Archiving and Cleaning Up Workspaces

To keep your Priority dashboard lean and relevant as projects conclude:

  • Click the three vertical dots (kebab menu) on the specific workspace card.
  • Select Hide workspace to remove it from your primary view while preserving its curation in the background.
  • Select Remove workspace when a project is fully completed. Removing a workspace does not delete any underlying documents; it only disbands the virtual grouping.

Utilising Priority Workspaces and shortcuts transforms Google Drive into a dynamic, project-focused command centre, eliminating clutter and streamlining document retrieval.
