How to Add and Manage File Shortcuts in Google Drive to Avoid Duplication

In collaborative team environments and personal cloud storage, you frequently need a single document, spreadsheet, or project folder to be visible across multiple project directories. In the past, users often copied files to different folders, which wasted valuable cloud storage quotas and created chaotic version control problems when teammates edited different copies. Google Drive includes a robust Shortcuts system that creates lightweight pointers to your original files across multiple locations.

What Are Google Drive Shortcuts and How Do They Work?

A Google Drive shortcut functions identically to a desktop alias or symlink. It creates a small visual icon in a secondary folder that immediately links back to the original file:

  • Single Source of Truth: Edits made to the document via any shortcut update the original master file in real time for all collaborators.
  • Zero Extra Storage: Shortcuts consume virtually zero storage space, allowing you to link large 5GB video files or databases into multiple folders without impacting your Google One storage quota.
  • Preserves Sharing Permissions: The shortcut inherits the access permissions of the master file, preventing accidental data leaks.
  • Visual Indicator: Shortcuts feature a distinctive small curved arrow overlaid on their file icon, distinguishing them from original standalone files.

How to Add a Shortcut to Google Drive (Web Browser)

Creating a shortcut takes only a couple of clicks from the Google Drive web interface:

  1. Open Google Drive on your computer.
  2. Locate the file or folder you wish to link.
  3. Right-click on the item and hover over Organise.
  4. Click on Add shortcut (or select the item and press Shift + S on your keyboard).
  5. A navigation dialogue box titled Add shortcut will populate.
  6. Browse through your cloud directory tree to choose your desired destination folder (you can pick locations in My Drive, Shared drives, or Computers).
  7. Click the blue Add shortcut button. The shortcut link will appear immediately in the chosen destination folder.

How to Add a Shortcut in the Mobile App (iPhone & Android)

You can also create and place shortcuts using the Google Drive mobile app:

  1. Open the Google Drive app on your smartphone.
  2. Tap the three vertical dots menu (…) beside any file or folder.
  3. Scroll down the menu and tap Add shortcut to Drive.
  4. Select your target folder destination and tap Add in the bottom-right corner.

Deleting vs Removing: What Happens to the Original File?

Understanding shortcut deletion rules is vital to avoid accidental data loss:

  • Deleting a Shortcut: Right-clicking a shortcut icon and selecting Move to trash deletes only the shortcut link. Your original master document and all other shortcuts pointing to it remain completely safe and untouched.
  • Deleting the Master File: If the owner deletes or trashes the original master file, all existing shortcuts pointing to that file become broken links. Clicking a broken shortcut displays a prompt stating “File in trash”.

How to Find the Original File from Any Shortcut

If you encounter a shortcut inside a nested project folder and need to locate where the master file resides, select the shortcut, look at the Details pane in the right-hand sidebar, and click Open original location.
