The Chaos of Version History
One of the greatest features of Google Docs is its automatic saving mechanism. Every time you type a word, Google logs the change in the document’s Version History. While this ensures you never lose data due to a crash, it creates a massive, chaotic list of hundreds of minor auto-saves. If a team of five people is heavily editing a 50-page legal contract over three weeks, finding the specific version of the document from “before we deleted the liability clause” becomes an absolute nightmare.
Google solved this problem with the Name a Version feature. This tool allows you to place a permanent, titled bookmark on a specific draft of a document, making it incredibly easy to find and restore major milestones.
How to Name the Current Version
You should make it a habit to name a version right before sending a document to a client for review, or right before someone else begins a massive round of edits.
- With your Google Doc open, click on File in the top menu bar.
- Select Version history.
- Click on Name current version.
- A dialog box will appear. Type a clear, descriptive name (e.g., “Draft 1 – Sent to Legal” or “Pre-Revision Copy”).
- Click Save.
That specific state of the document is now permanently bookmarked in Google’s servers.
How to Find and Restore a Named Version
When someone completely ruins the formatting of the document two days later, you can instantly revert to your bookmarked draft without digging through hundreds of auto-saves.
- Click on File > Version history.
- Select See version history.
- A sidebar will open on the right side of the screen. By default, it shows every single auto-save, which can be overwhelming.
- At the top of the sidebar, check the toggle switch labeled “Only show named versions”.
- The clutter will instantly disappear, leaving only the major drafts you manually bookmarked.
If you click on your named version, the main screen will display what the document looked like at that exact moment. To revert the live document to this state, click the large blue Restore this version button at the top of the screen.
Naming Past Auto-Saves
If you forgot to name a version before a coworker started editing, you can still retroactively name an old auto-save to make it easier to find later.
- Open the Version history sidebar.
- Ensure the “Only show named versions” toggle is turned off so you can see the auto-saves.
- Scroll through the list of dates and times until you find the exact auto-save you want to bookmark.
- Hover your mouse over the timestamp.
- Click the three vertical dots (More actions) that appear next to it.
- Select Name this version.
- Type your desired name and press Enter.
By aggressively using the “Name a Version” feature, you can treat Google Docs like a professional version control system, ensuring you never lose track of a major draft again.
