How to Automatically Add a Table of Authorities to a Legal Document in Microsoft Word

If you are drafting a complex legal brief, court rules mandate that you include a “Table of Authorities”—a highly structured index listing every single case, statute, and rule cited within your brief, along with the exact page numbers where they appear. Manually typing this index and constantly updating the page numbers as you edit your document is a grueling, error-prone task. Fortunately, Microsoft Word possesses a built-in legal engine designed specifically to automate this entire process.

How to Mark Your Citations

Before Word can generate the table, you must meticulously tag every single citation in your document so the software knows what to track.

  1. Open your legal document in Microsoft Word.
  2. Scroll through the text and locate your very first legal citation (e.g., Smith v. Jones, 45 F.3d 98).
  3. Highlight the exact text of the citation.
  4. In the top menu ribbon, click on the References tab.
  5. Look for the section labeled “Table of Authorities” and click the Mark Citation button. (Alternatively, you can press the keyboard shortcut Alt + Shift + I).

A new dialogue box will appear.

  1. In the Selected text box, you can edit how the citation will appear in the final table.
  2. Click the Category dropdown menu to classify the citation (e.g., Cases, Statutes, Rules).
  3. Click the Mark button to tag this single instance. If you have cited this exact same case 15 times throughout the brief, click Mark All, and Word will instantly scan the entire document and invisibly tag every single occurrence.
  4. Repeat this entire process for every unique case and statute in your brief.

Generating the Table of Authorities

Once you have meticulously marked all of your citations, generating the final table takes only seconds.

  1. Scroll to the very beginning of your document and place your cursor exactly where you want the table to appear (usually directly after your Table of Contents).
  2. Go back to the References tab.
  3. Click the Insert Table of Authorities button.
  4. A formatting window will open. Ensure your categories and leader dots look correct, then click OK.
