The entire Smart Canvas experience is accessed through a single keystroke: the @ symbol. Previously used only to tag a coworker in a comment, typing @ directly into the body of a Google Doc now opens a massive contextual menu.
This menu is the gateway to inserting People, Files, Dates, Events, and Building Blocks without ever moving your mouse to the toolbar.
Step 2: Utilizing Smart Chips
A “Smart Chip” is an interactive, clickable entity embedded within the text. It replaces static links with rich, hoverable data.
People Chips
If you are writing meeting minutes and need to list the attendees, do not just type their names. Type @ followed by their name (e.g., @John Doe). Google Docs will insert a dynamic chip. When anyone hovers over that chip, they immediately see John’s job title, location, local time zone, and whether he is currently in a meeting, along with one-click buttons to start a Google Meet or Chat.
File Chips
Instead of pasting an ugly, 100-character URL to a related spreadsheet, type @ and the name of the file (e.g., @Q3 Financials). The chip automatically pulls the file’s title and icon. If the reader hovers over it, they get a preview of the spreadsheet without leaving the Doc.
Date Chips
Typing @today or @next Friday inserts an interactive date chip. Clicking the chip opens a mini-calendar, allowing collaborators to easily adjust project deadlines inline, which can be linked to Google Calendar notifications.
Step 3: Interactive Building Blocks and Trackers
Smart Canvas excels at project management. Instead of building clunky tables manually, Google Docs provides pre-formatted, interactive Building Blocks.
Type @project assets or @review tracker. Google Docs will instantly insert a highly formatted table designed for workflow management. These tables come pre-populated with “Dropdown Chips.”
Dropdown Chips are a massive upgrade. Instead of manually typing “In Progress” or “Approved,” you can insert a color-coded dropdown menu directly into a cell. If you change a project’s status from a red “Blocked” to a green “Approved,” everyone viewing the document sees the change instantly, turning the document into a lightweight Kanban board.
Step 4: Meeting Notes Integration
One of the most powerful workflows enabled by Smart Canvas is the Calendar integration.
If you have a meeting scheduled on your Google Calendar, open a blank Google Doc and type @meeting notes. Google Docs will query your calendar and display your upcoming meetings. Select the meeting.
The Doc will instantly populate with:
- The Date and Time (as a Date Chip).
- The Event Title (as an Event Chip).

Smart Canvas is not limited to the Google ecosystem. By installing Google Workspace add-ons, you can pull live data from third-party SaaS applications directly into the Doc.
If your organization uses Jira, Figma, or Zendesk, you can paste a link to a Jira ticket directly into the document and press Tab. The link will magically transform into a Jira Smart Chip. Hovering over it will show the live status of the ticket, the assignee, and the priority. If the ticket is resolved in Jira, the status updates inside the Google Doc automatically.
