When drafting research papers, business reports, legal briefs, or historical essays in Google Docs, citing source references or providing explanatory notes without interrupting the main narrative flow is crucial. Footnotes provide clean bibliographic tracking by placing discreet superscript numerals inside body paragraphs while anchoring detailed citations at the bottom of the corresponding page. Google Docs automatically renumbers footnotes dynamically whenever you insert, move, or delete citations.
How to Insert a Footnote in Google Docs
Adding a citation takes only a couple of clicks or a rapid keyboard shortcut:
- Open your document in Google Docs.
- Place your blinking text cursor immediately after the word, quote, or punctuation mark where you wish to cite a source.
- Click on the Insert menu in the top toolbar.
- Select Footnote.
- Alternatively, simply press the global keyboard shortcut:
- On Windows and Linux: Ctrl + Alt + F.
- On macOS: Cmd + Option + F.
- Google Docs inserts a tiny superscript number in your body text and immediately moves your cursor to the bottom footer area of that exact page.
- Type your citation, source URL, or explanatory commentary into the footnote area.
Dynamic Automatic Renumbering Behaviour
One of the strongest advantages of using Google Docs’ dedicated footnote engine rather than manual superscript typing is automated numbering. If you have five footnotes on page 10 and decide to insert a new citation near the top of the page, Google Docs automatically increments all subsequent footnote numerals (turning 1 into 2, 2 into 3, and so on) both in the body text and footer citations.
Formatting Footnote Text Styles
By default, Google Docs formats footnotes in 10-point Arial font. You can customize font family, size, line spacing, and indentation:
- Highlight the footnote text at the bottom of the page.
- Use the top formatting toolbar to change the font (e.g., switch to Times New Roman or Georgia), size, or text colour.
- To apply this new styling across all existing and future footnotes:
- Keep the reformatted text highlighted.
- Click Format > Paragraph styles > Normal text.
- Select Update ‘Normal text’ to match (or format custom footnote styles).
How to Delete a Footnote Correctly
Deleting a footnote requires removing the marker from the body text rather than erasing the footer line:
- Correct Method: In your body paragraph, highlight the tiny superscript number itself and press Backspace or Delete. Google Docs will instantly erase both the body number and the corresponding footer reference, automatically renumbering remaining footnotes.
- Incorrect Method: Simply erasing the text at the bottom of the page leaves an empty, orphaned number in your paragraph and an awkward blank line in your footer.
