Drafting recurring business proposals, project meeting notes, onboarding agendas, and technical specifications frequently involves copying and pasting identical layouts and boilerplate text. Google Docs features a custom building blocks system that enables users to convert any formatted text, table structure, or smart chip configuration into a saved reusable component accessible directly through the @ menu.
Creating a Custom Building Block
You can turn any content block within your current Google Doc into a reusable building block in seconds:
- Highlight the text, table, checklist, or formatted section that you want to preserve as a reusable template.
- Right-click the selected area and choose Save as custom building block from the contextual menu. Alternatively, click Insert in the top menu bar, hover over Building blocks, and select Custom building block.
- In the configuration dialog, enter a concise Name. This name acts as the search trigger in the
@menu, so choose something memorable like Meeting Agenda or NDA Clause. - Add an optional short description to clarify when team members should use this block.
- Click Save to confirm. Google Docs saves this component into your Google Drive within a dedicated folder titled Custom Building Blocks.
Inserting Your Saved Building Block into Any Document
Once saved, your custom building block is accessible across any Google Doc associated with your account:
- Using the @ Menu: Type
@followed immediately by the name of your building block (for example,@Meeting Agenda). Select your custom block from the dropdown list and press Enter to instantly insert the formatted layout. - Using the Top Menu: Navigate to Insert > Building blocks > Custom building blocks, locate your desired template from the list, and click to place it at your current cursor position.
Editing and Managing Saved Building Blocks
If boilerplate language changes or your standard table requires additional columns, you can update existing custom building blocks without rebuilding them from scratch:
- Type
@, locate your custom building block in the dropdown, hover over it, and click the three-dot menu icon. - Select Edit details to modify the name and description.
- To update the actual contents of the block, choose Open in Drive. This opens the master document template file stored in your Drive where you can modify text, formatting, and tables. All subsequent insertions will immediately reflect your updates.
Leveraging custom building blocks streamlines document preparation across teams, ensuring brand consistency and eliminating repetitive formatting tasks in Google Docs.
