When collaborating on legal contracts, academic theses, or project proposals, team members often save separate copies of a file under names like “Draft_Final_v2” or “Proposal_Updated”. Manually reading two 20-page documents side-by-side to detect altered sentences, modified clauses, or deleted paragraphs is exhausting and prone to human error. Google Docs includes a dedicated “Compare documents” tool that performs an automated, character-by-character diff and generates a new document highlighting every single change as suggested revisions.
Why Use the Google Docs Comparison Tool?
Automating document diffing provides clear collaboration advantages:
- Instant Redline View: Generates a clean comparison document showing added text in green and deleted words with strikethroughs in magenta.
- Attributed Suggestion Cards: Lists each detected variance as an individual suggestion card that you can accept or reject one by one.
- Preserves Original Files: The tool leaves both original files completely untouched, creating an independent comparison copy in your Google Drive.
How to Compare Two Documents in Google Docs
Running a document comparison takes less than a minute:
- Open the primary document (such as your current working draft) in Google Docs.
- Click on the Tools menu in the top toolbar.
- Select Compare documents.
- A modal dialogue will appear prompting: Select comparison document.
- Click the file picker button to open Google Drive, navigate to the second version of the document, and click Open.
- Under Attribute differences to, enter a label (such as the collaborator’s name or “Version 1”) so suggestion tags are clearly marked.
- Optional: Tick Include comments from the selected document if you want peer feedback notes transferred over.
- Click the blue Compare button.
- Google Docs will process the analysis and display a prompt saying Comparison is ready. Click Open.
How to Review and Accept Changes in the Comparison File
In the newly generated comparison document, every modification appears in the right-hand margin:
- To accept an addition or deletion: Click the green Checkmark icon (✓) on the suggestion card.
- To reject a change: Click the “X” icon to discard the suggested revision and keep the original phrasing.
- To accept all changes simultaneously: Click Tools > Review suggested edits and select Accept all.
