Between team status meetings, doctor appointments, project deadlines, and family commitments, keeping track of daily scheduling demands reliable, timely reminders. By default, Google Calendar assigns a standard 10-minute pop-up alert to new events. However, a single 10-minute warning is often inadequate when you need travel time across town or require 24 hours of advance notice to prepare a presentation slide deck. In Google Calendar, customising event notifications and email reminders allows you to establish automated multi-stage alerts across web and mobile.
Understanding Google Calendar Alert Types
Google Calendar supports two primary reminder delivery mechanisms:
- Device Push Notifications: Standard on-screen banners that sound chimes and display pop-up cards on your smartphone, smartwatch, or computer desktop.
- Email Reminders: Automated email messages dispatched directly to your Gmail inbox, providing complete meeting details, attendees, and video call links hours or days in advance.
How to Customise Reminders for an Individual Event
When creating or editing an important meeting, you can layer multiple notifications:
- Open Google Calendar on desktop or open the mobile app.
- Click on an existing event and select the Pencil (Edit event) icon, or click Create to begin a new event.
- Locate the Notification section (represented by a bell icon).
- Click the dropdown menu to choose between Notification (on-screen push) or Email.
- Enter the timing duration (e.g., 30 minutes, 2 hours, or 1 day before the event).
- To add a second warning tier (such as an email 1 day prior followed by a mobile push 15 minutes prior), click Add notification.
- Click Save at the top of the event window.
How to Set Universal Default Notifications for All Events
If you find yourself manually altering notifications every time you schedule an appointment, changing your calendar’s default settings automates the process:
- On desktop Google Calendar, look at the left sidebar under My calendars.
- Hover over your primary calendar, click the three-dot overflow icon, and select Settings and sharing.
- Scroll down to the Event notifications section.
- Click Add notification to define your permanent default alert rules for timed meetings.
- Scroll down to All-day event notifications to specify when you receive alerts for birthdays, public holidays, and all-day milestones (e.g., 9:00 AM 1 day before).
Enabling Browser Desktop Notifications
To ensure calendar alerts pop up over your active web browser even when your calendar tab is not currently focused:
- Click the Gear (Settings) icon in the top header and choose Settings.
- In the General menu, click on Notification settings.
- Set the Notifications dropdown to Desktop notifications.
- If prompted by your browser, click Allow to grant desktop notification permissions.
