Maintaining a punctual schedule requires reliable meeting reminders, but manually configuring notification alerts for every newly scheduled appointment, doctor visit, or flight is repetitive and easy to overlook. By default, Google Calendar assigns a 10-minute pop-up alert to new events, which may not provide adequate travel buffer for off-site appointments or may be intrusive for routine all-day reminders. To automate this process across your workspace, Google Calendar allows you to configure Default Event Notifications per calendar. Once set, every new event you create or accept automatically inherits your preferred alert lead times and notification channels.
Why Customise Default Notifications Per Calendar?
Google Calendar manages notifications independently for each calendar associated with your Google Account:
- Primary Work Calendar: Configure two notifications—such as a 15-minute heads-up notification and an immediate 2-minute alert—to ensure you never miss joining virtual video meetings.
- Personal or Travel Calendar: Set a 2-hour or 1-day notification to allow ample time for commuting, packing, or preparing documentation.
- All-Day Events: Receive a quiet 9:00 AM notification on the morning of birthdays or anniversaries rather than having alerts trigger at midnight.
- Delivery Channels: Choose between device desktop/mobile push alerts and direct email notifications.
Step 1: Open Google Calendar Settings on the Web
While basic notification preferences can be tweaked on mobile devices, comprehensive default notification rules are configured through the desktop web interface:
- Open your web browser and navigate to Google Calendar (
https://calendar.google.com). - Ensure you are signed in with the appropriate Google or Google Workspace account.
- Click the Settings menu (Gear icon) in the top-right corner of the interface and select Settings.
Step 2: Access Specific Calendar Notification Settings
In the left-hand navigation sidebar, look for the section titled Settings for my calendars:
- Click on the specific calendar you wish to customise (typically your primary calendar displayed under your name).
- In the expanded sub-menu, click on Event notifications or scroll down the main page to the Event notifications header.
Step 3: Customise Default Timings for Standard Events
Under the Event notifications section, you will see the active defaults applied to timed appointments:
- Click on the existing notification duration (e.g.,
10 minutes) to edit it, or click the Add notification button to attach multiple layered alerts. - For each notification, configure:
- Delivery Channel: Select Notification (for on-screen push/desktop banner) or Email (to receive a structured summary sent to your Gmail inbox).
- Time Value: Enter an integer (e.g.,
15,30, or1). - Unit of Measurement: Choose from minutes, hours, days, or weeks.
Pro Tip: A recommended corporate setup is two default notifications: a Notification set to 10 minutes prior, and an Email set to 1 day prior for advanced agenda review.
Step 4: Configure All-Day Event Notifications
Directly beneath standard event alerts, locate the section titled All-day event notifications:
- All-day events (such as holidays, deadlines, or birthdays) do not have start hours, so Google Calendar anchors notifications to specific times of day.
- Click Add notification.
- Specify how many days before the event you want the alert (e.g.,
0 days beforefor same-day, or1 day before). - Set the delivery time (for example,
09:00 AM). This prevents notification chimes from sounding at midnight when all-day events technically commence.
Step 5: Adjust Browser and Desktop Alert Behaviour
To ensure notifications appear prominently without disrupting presentations:
- In the main Settings menu, scroll down to General > Notification settings.
- Under Notifications, choose how alerts render on your machine:
- Desktop notifications: Uses native OS notification toasts (Windows Action Centre or macOS Notification Centre).
- Alerts: Displays a high-priority modal pop-up box inside your browser window.
- Off: Suppresses browser alerts entirely while preserving mobile push alerts.
- Toggle Play sound on or off based on your workplace noise preferences.
Troubleshooting Google Calendar Notifications
- Notifications Not Firing on Mobile: Ensure the Google Calendar app has background execution and notification permissions enabled in Android or iOS settings. On Android, verify that battery optimisation is set to “Unrestricted” for Calendar.
- Browser Blocks Alerts: If desktop notifications fail to appear, check your browser’s site permissions. Click the padlock or tune icon to the left of
calendar.google.comin your address bar and ensure Notifications is toggled to Allow. - Invites from Others Lack Defaults: When you accept a calendar invitation created by an external organiser, Google Calendar applies your personal default notifications to the event on your calendar, overriding the organiser’s internal reminder settings.
