When managing multiple email accounts on an iPhone—such as a corporate Microsoft Exchange account, a personal iCloud address, and a freelance Gmail inbox—using a single generic email signature across all accounts is rarely practical. While Apple Mail defaults to appending “Sent from my iPhone” to all outgoing messages, iOS provides a dedicated configuration setting that allows you to specify distinct, tailored signatures for each configured email account individually.
Why Separate Email Signatures Matter
Setting up account-specific signatures ensures proper professional etiquette and context across your communications:
- Professional Work Accounts: Include your full name, job title, company name, phone number, and official legal disclaimers.
- Personal Accounts: Maintain a minimalist closing or leave the signature completely blank to avoid repetitive sign-offs with family and friends.
- Customer Support or Secondary Accounts: Append business operating hours, helpdesk links, or appointment scheduling URLs.
Configuring Per-Account Signatures in iOS Settings
You can customise and format your email signatures directly within the iOS Settings app without opening individual mailboxes:
- Open the Settings app on your iPhone.
- Scroll down and tap Apps (on iOS 18) or scroll directly to Mail on earlier iOS versions.
- In the Mail settings menu, scroll down to the bottom section labelled Composing.
- Tap Signature.
- At the top of the Signature screen, select Per Account instead of the default All Accounts option.
- iOS will immediately expand the view to display a dedicated text box for every email account currently connected to your device.
- Tap inside each account field and draft your desired signature text.
Adding Formatting, Links, and Styling to Your Signatures
While the Settings text box appears plain, iOS supports rich text formatting, italicisation, and clickable web links in email signatures:
- Text Styling: Highlight any text within the signature box, tap the selection arrow, and choose Format to apply Bold, Italics, or Underline.
- Hyperlinks: To add a clickable link (such as your website or LinkedIn profile), write or paste the full URL (e.g.
https://example.com). iOS Mail automatically renders active web links when composing and dispatching messages. - HTML Signatures from Received Emails: If your company provides a rich HTML signature containing small logos or social icons, compose the signature in a desktop client, email it to your iPhone, copy the rendered signature from the Mail app, and paste it directly into the Settings signature box. If iOS alters the original formatting upon pasting, gently shake your iPhone and select Undo Change Attributes to restore the original styling.
Verifying Signatures in the Mail App
Once configured, verify that the appropriate signature attaches automatically depending on the selected sending address:
- Launch the Mail app on your iPhone.
- Tap the Compose button in the bottom-right corner.
- Tap the From: field to cycle between your configured accounts.
- Observe that as you switch the sending account, iOS automatically updates the bottom signature block to reflect the specific signature assigned to that address.
