The native Apple Notes app on iPadOS is a powerful repository for capturing meeting transcripts, research diagrams, personal journaling, and financial records. While your iPad itself is protected by an overall device passcode or biometric authentication, sharing your unlocked tablet with colleagues, family members, or students poses privacy risks for confidential notes. Apple Notes includes end-to-end encryption for individual notes, allowing you to lock specific sensitive documents behind Face ID, Touch ID, or a dedicated standalone password.
Choosing Your Note Encryption Method
iPadOS provides two distinct methods for locking notes:
- iPad Passcode / Biometrics (Recommended): Uses your existing iPad passcode along with Face ID or Touch ID. This option allows seamless access across all Apple devices signed into your iCloud account without requiring you to remember a secondary password.
- Custom Notes Password: Creates a unique, independent password specifically for locked notes. While this provides an extra layer of isolation if someone knows your iPad passcode, forgetting this custom password means the encrypted notes cannot be recovered, even by Apple Support.
Configuring Note Lock Settings in iPadOS
Before locking your first note, configure your preferred authentication method in iPad Settings:
- Open the Settings app on your iPad.
- Scroll down the left navigation panel and tap Notes.
- In the right pane, tap Password.
- Select your preferred iCloud account (or On My iPad account).
- Choose either Use iPad Passcode or Use Custom Password.
- Ensure the toggle for Use Face ID (or Use Touch ID) is switched to On for fast biometric unlocking.
How to Lock an Individual Note
Once your security preferences are established, locking any note takes just a couple of taps:
- Launch the Notes app on your iPad.
- Open the specific note you wish to secure.
- Tap the More options button (the circle with three dots: ···) located in the upper-right corner of the screen.
- Tap the Lock icon (or select Lock Note).
- If prompted, authenticate using Face ID, Touch ID, or your passcode.
- A padlock icon will appear in the top toolbar. Tap the open padlock icon (or lock your iPad screen) to immediately seal the document.
Viewing and Unlocking Secured Notes
When browsing folders in Apple Notes, locked documents display only their title and a padlock icon, with all body text, checklists, and image attachments completely obscured. To view a locked note:
- Tap on the locked note in the list.
- Tap View Note on the central screen prompt.
- Authenticate with Face ID or Touch ID.
- Once unlocked, all locked notes in the app remain accessible until you tap the padlock icon in the upper toolbar or lock your iPad.
Removing Password Protection from a Note
If a document no longer contains confidential information, you can permanently remove encryption:
- Unlock the note using your biometric authentication.
- Tap the More options button (···) in the top-right corner.
- Select Remove Lock. The document reverts to a standard, unencrypted note.
