Typing out long, repetitive phrases on a smartphone keyboard can be incredibly tedious. Whether it’s your full mailing address, a complex email signature, your frequent flyer number, or a standard response to clients (“I am currently in a meeting and will call you back”), typing it letter-by-letter wastes time. Fortunately, Apple’s iOS includes a powerful feature called Text Replacement that allows you to create custom, short abbreviations that automatically expand into full sentences or paragraphs the moment you hit the spacebar.
How to Create a Text Replacement Shortcut
You can create an unlimited number of these shortcuts directly from the main Settings app.
- Open the Settings app on your iPhone.
- Scroll down and tap on General.
- Scroll down and tap on Keyboard.
- Tap on Text Replacement at the top of the screen.
- You will see a list of any existing shortcuts. To create a new one, tap the Plus (+) icon in the top-right corner.
Configuring the Phrase and Shortcut
You now have two fields to fill out: the Phrase and the Shortcut.
- In the Phrase field, type the long, full text exactly as you want it to appear. For example:
123 Fake Street, Springfield, IL 62701. - In the Shortcut field, type the abbreviation you want to use to trigger the phrase. For example:
@@addr. - Tap Save in the top-right corner.
Best Practices for Choosing a Shortcut
When picking your abbreviation, it is critical that you choose a combination of letters that you would never type naturally in normal conversation. If you set your shortcut for “address” as simply add, your iPhone will accidentally expand it every time you try to type the word “add.”
To prevent this, use a special character prefix or a deliberate misspelling. A common and highly effective trick is to double up the first letter (e.g., aaddress) or to start every shortcut with a symbol (e.g., @@addr or ;addr).
To use your new creation, simply open any app that requires typing (Messages, Mail, Safari), type your shortcut (@@addr), and press the spacebar. The iPhone’s autocorrect engine will instantly replace the abbreviation with your full phrase.
