How to Add a Printer to a Mac

Connecting a printer to a Mac is usually a seamless experience. Unlike older Windows computers that required you to hunt down and install specific manufacturer drivers from a CD-ROM, macOS uses a technology called AirPrint to automatically recognize and configure most modern printers.

Step 1: Connect the Printer

Before you begin, ensure your printer is turned on and loaded with paper.

  • For USB Printers: Simply plug the USB cable from the printer directly into your Mac. macOS should automatically detect it and set it up without any extra clicks.
  • For Wi-Fi Printers: Ensure both your Mac and the printer are connected to the exact same Wi-Fi network. You will usually need to use the small digital screen on the printer itself to select your network name and enter your Wi-Fi password.

Step 2: Add the Printer in System Settings

If you are using a Wi-Fi printer, you need to tell your Mac to look for it.

  1. Click the Apple menu () in the top-left corner of your screen.
  2. Select System Settings (or System Preferences if you are on macOS Monterey or older).
  3. Scroll down the left sidebar and click on Printers & Scanners.
  4. Click the Add Printer, Scanner, or Fax… button on the right (on older Macs, this is a small + button at the bottom of the list).
  5. A new window will open showing all the printers detected on your local network. Click on your printer’s name.
  6. At the bottom of the window, the “Use” dropdown menu should automatically select “Secure AirPrint.” Click the Add button.

Your printer is now added to the list and ready to use. The next time you press Command+P in a document, your new printer will appear in the drop-down menu.
