Breaking Down Language Barriers in Google Workspace
In our increasingly globalised digital workspace, it is not uncommon to receive a business proposal, a research paper, or a set of instructions written in a language you do not speak. While you could painstakingly copy and paste paragraphs into a separate translation website, doing so ruins your document’s formatting and wastes a tremendous amount of time.
If you are working within Google Docs, you already have the power of Google Translate built directly into the word processor. With just a few clicks, you can instantly translate a 50-page document into over 100 different languages without losing any of your original formatting, images, or layout.
Here is exactly how to use the built-in translation tool in Google Docs to instantly create a translated copy of any document.
How to Translate a Complete Document
It is important to note that Google Docs will not overwrite your original file. Instead, the translation tool generates a brand-new, completely separate document in your Google Drive, leaving your original text untouched and safe.
(Note: This feature is only available on the desktop web browser version of Google Docs. It is not currently supported on the iOS or Android mobile apps).
- Open your document in Google Docs on a desktop or laptop computer.
- Look at the menu bar at the very top of the screen and click on Tools.
- From the drop-down menu, select Translate document.
- A small dialogue box will appear in the centre of your screen.
- In the first field, type the name you want to give the new translated file. (By default, Google will name it “Translated copy of [Original Document Name]”).
- Click the Choose a language drop-down menu and scroll through the list to select your target language (e.g., Spanish, Japanese, or French).
- Click the blue Translate button.
Google Docs will open a new browser tab containing the fully translated document. The new file is automatically saved to your Google Drive in the exact same folder as the original document.
How Accurate is the Translation?
Because the tool is powered by the standard Google Translate engine, the accuracy is highly dependent on the languages involved and the complexity of the text.
- Conversational Text: For standard business emails, basic instructions, and conversational prose between common languages (like English to Spanish or French), the translation is usually excellent and easily understood.
- Technical or Legal Text: If your document contains complex industry jargon, legal terminology, or highly technical specifications, the machine translation may struggle. It can often provide a literal translation of a phrase that makes no sense in the target language.
Crucial Best Practice: If you are translating a document to send to a client, a customer, or a business partner, you should never rely entirely on the automated translation. Always have a fluent human speaker proofread the generated document before publishing or sending it, as machine translation can sometimes produce embarrassing or culturally inappropriate errors.
Limitations and Formatting Issues
While the translation tool is incredibly powerful, it does have a few minor limitations you should be aware of:
- Images and Charts: Google Docs will only translate the raw text on the page. Any text embedded inside images, charts, or drawing canvases will not be translated.
- Page Layout Changes: Different languages require different amounts of space to say the same thing. For example, translating English into German usually results in much longer words. This expansion can sometimes push text onto the next page or slightly mess up carefully aligned tables. You may need to spend a few minutes adjusting margins or column widths in the new document.
- Comments: Any comments or suggested edits attached to the margins of the original document will not be carried over to the translated copy.
