How to Lock Cells and Protect Sheets in Microsoft Excel

When you share a complex spreadsheet with colleagues or clients, the last thing you want is for someone to accidentally overwrite a crucial formula or delete important data. By learning how to lock cells in Excel, you can allow users to input data into specific areas while keeping the rest of your sheet completely protected.

Step 1: Unlock the Cells You Want People to Edit

By default, every single cell in a Microsoft Excel spreadsheet is “locked.” However, this lock does not actually do anything until you protect the sheet. Therefore, the first step is to unlock the cells where you want people to type.

1. Select the cell or range of cells you want users to be able to edit. You can hold the Ctrl key to select multiple non-adjacent cells.
2. Right-click the selected cells and choose Format Cells… from the context menu.
3. In the window that appears, navigate to the Protection tab on the far right.
4. Untick the box that says Locked.
5. Click OK.

Step 2: Protect the Sheet

Now that your input cells are unlocked, you need to activate the protection for the rest of the spreadsheet. This will enforce the lock on all the cells you didn’t highlight in Step 1.

1. Go to the Review tab on the top ribbon.
2. Click on Protect Sheet.
3. A dialogue box will appear. Ensure the box next to Protect worksheet and contents of locked cells is ticked.
4. (Optional) Enter a password. If you add a password, no one will be able to turn off the protection without it. If you leave it blank, anyone can click “Unprotect Sheet” to remove the lock.
5. By default, users are allowed to “Select locked cells” and “Select unlocked cells”. You can leave these ticked.
6. Click OK. If you entered a password, you will be asked to confirm it.
