Many professionals use a single Gmail or Google Workspace account to fulfill multiple responsibilities—such as serving as a corporate team director, leading an external industry committee, managing client onboarding, or communicating informally with colleagues. Sending an email with an inappropriate signature (such as attaching a formal legal disclaimer to an internal note, or sending an informal sign-off to a prospect) looks unprofessional and introduces communication errors.
Gmail includes native multi-signature management. Instead of relying on browser extensions or manually copying and pasting sign-off blocks, you can configure multiple named signatures, assign default sign-offs for new emails versus replies, and switch between signatures dynamically from the compose window.
Accessing Signature Settings in Gmail
To configure multiple signatures in your desktop web browser:
- Open your web browser and navigate to Gmail.
- Click the Settings (gear) icon in the top-right corner of the window.
- In the Quick settings panel, click See all settings.
- Stay on the default General tab and scroll down to the Signature section.
Creating Multiple Named Email Signatures
Gmail allows you to store multiple distinct signature profiles:
- Click the + Create new button.
- Enter a descriptive name for your signature profile (for example, Corporate Executive, Client Inquiries, or Internal Concise) and click Create.
- In the visual text editor on the right, compose your signature text. You can format fonts, colours, bullet points, hyperlinks, and insert company logos or professional headshots.
- To add an additional signature, click + Create new again, assign a second name (such as External Freelance), and design the alternative layout.
Configuring Default Signature Rules
Beneath the signature editor, use the Signature defaults dropdown menus to automate signature selection:
- For new emails use: Select the primary formal signature you want automatically inserted when composing a fresh email thread (for example, Corporate Executive).
- On reply/forward use: When replying to ongoing message chains, full corporate disclaimers and multi-line headers clutter the conversation. Select a shorter sign-off (such as Internal Concise) or choose No signature to keep email threads clean.
- Insert signature before quoted text in replies: Tick this checkbox to ensure your signature appears immediately beneath your reply rather than at the very bottom of the entire historical email thread.
Saving and Applying Your Changes
After designing your signatures and assigning default rules:
- Scroll to the very bottom of the Gmail General settings page.
- Click Save Changes.
Switching Between Signatures in the Compose Window
When drafting an email, you can switch to an alternative signature profile on demand:
- Click the Compose button to open a new message window.
- Your default signature will already be in place.
- To swap it, look at the bottom toolbar of the compose window and click the Insert signature (pen) icon.
- A popup menu lists all your created signature profiles. Click the desired profile name.
Gmail instantly replaces the existing signature block with the newly selected profile, preserving your message text and attachments.
